MULTI STATE PAYROLL / AR SPECIALIST

We are looking for a highly detail-oriented and experienced Accountant/Payroll Manager to join our team. The ideal candidate must have significant expertise in out-of-state and multi-state payroll processing, including handling Massachusetts payroll, and demonstrated experience working with and integrating various payroll systems.

REQUIREMENTS

  • Bachelor’s degree or Associate’s degree with equivalent experience.
  • Mandatory minimum of 2 years’ direct experience with multi-state payroll processing, including specific expertise in Massachusetts regulations.
  • At least 2 years’ experience managing accounts receivable.
  • Proficiency in HRIS systems such as Paylocity (or similar platforms).
  • Adept at journal entries, account reconciliations, and month-end processes.
  • Familiarity with ERP systems like Infor, Syteline, or Intellidash (preferred).
  • Advanced proficiency in spreadsheets, presentations, and database tools.
  • Strong understanding of payroll laws, especially MA-specific regulations.
  • Exceptional communication and collaboration skills across diverse teams.
  • Proven ability to thrive in a fast-paced, deadline-driven environment.
  • A proactive approach with meticulous attention to detail, confidentiality, and professionalism.

Responsibilities

ACCOUNTS RECEIVABLE RESPONSIBILITIES

  • Process accounts receivable transactions efficiently while adhering to company policies.
  • Verify incoming payments and maintain detailed, accurate records.
  • Reconcile and maintain the accounts receivable ledger.
  • Review transactions to ensure compliance with internal controls and standard accounting principles.
  • Prepare management reports, such as aging summaries and delinquent account analyses.
  • Analyze bad debt trends and propose improvements to strengthen vendor relations and AR management practices.
  • Address customer billing inquiries and handle ad hoc billing tasks.

PAYROLL RESPONSIBILITIES

  • Administer payroll for both salaried and hourly employees, ensuring full compliance with federal, state (including Massachusetts), and local regulations.
  • Manage multi-state payroll processes and integrate various payroll systems, with a strong preference for Paylocity experience.
  • Maintain accurate payroll records, including deductions, benefits, garnishments, and employee time-off tracking.
  • Partner with HR to implement and maintain new benefit programs, ensuring adherence to all relevant regulations.
  • Investigate and resolve payroll discrepancies with precision.
  • Prepare detailed payroll reports, journal entries, and reconciliations covering compensation, bonuses, PTO, and tax-related activities.
  • Support internal and external audits, including financial, 401(k), and workers’ compensation audits, while managing year-end payroll filings (e.g., W-2s, 1099s, T-4s, RL-1s).
  • Assist with ERP, BI, or EPM system implementations related to payroll operations.
  • Drive process improvements, enhance automation, and maintain comprehensive payroll documentation.
