Overview

We’re looking for a reliable and task-focused Accounting / Asminisrative Assistant to join our high-performing team at River Valley Ford. We are currently looking for someone with a happy to help attitude and a friendly demeanor! This is your opportunity to be part of the support for our team, support day-to-day dealership operations, and be a key part of a dynamic and supportive workplace.
What You’ll Do:
Support Receptionist as needed
Manage accounts payable and accounts receivable, including generating customer invoices and processing vendor payments
Data entries
Track expenses and inventories
Maintain up-to-date and organized digital and physical financial records
Process customer payments and complete daily cash-out procedures
Perform general administrative duties
Assist with Fleet Manager and process Wholesale documents

PBS experience or dealership experience preferred

This accounting / Administrative Assistant position will involve working mainly in the accounting office and supporting fleet processing. You will be required to communicate with other accounting team members as well as external team members such as sales, parts and service, and management.
The role will include:
- Communicating through phone calls, emails, mail, and in person.
- The use of enterprise software, Google Mail, Google Drive, Google Sheets, PBS system and various other programs.
- Following up on overdue payments from clients.
- Sending out monthly statement for parts and service account customers.
- Processing payments and updating payment information.
- Clearly communicating timelines and next steps for customers who are in arrears.
- Reaching out to sales team members and managers regarding unfunded deals.
- Communicating with Ford and parts and service regarding claim payments.
- Providing timely updates to managers and team members.
Customer/client service experience is an asset. Clear written and spoken
communication skills are a requirement. Attention to detail is important for this position.
A familiarity with Excel is preferred.
