We are seeking a detail-oriented and proactive Accounting & Administrative Associate to join our team. This position reports directly to the Controller and plays a key role in supporting both accounting operations and administrative functions across the office. The ideal candidate is organized, proficient in Excel, and comfortable working in a fast-paced, collaborative environment.

QUALIFICATIONS

  • Bachelor’s degree preferred but not required.
  • Minimum 2 years of office experience; accounting or finance background a plus.
  • Strong organizational skills and attention to detail.
  • Experience in the design or consulting industry is a plus.
  • Familiarity with BQE CORE or similar project management/accounting software is highly desirable.
  • Proficiency in Microsoft Excel and Google Workspace.
Responsibilities
  • Accounts Payable Support: Assist in accounts payable tasks, including coding, account reconciliation, and monthly credit card statement reconciliation.
  • Accounts Receivable Support: Provide support for accounts receivable activities, such as billing, collections, credits, and client reconciliation.
  • Accounting Records: Maintain an organized accounting filing system, ensuring accurate records and receipts of company expenses.
  • CORE Project and Time Management: Manage CORE projects and time entries, facilitating effective project tracking.
  • Utilize Google Sheets to record and reconcile revenue projections provided by project managers.
  • Administrative Support: Offer aid and support to various departments as needed, including tasks like making travel arrangements, filing, scanning, and handling administrative duties.
  • Office Supplies: Ensure office and kitchen supplies are stocked and well-organized, promoting an efficient work environment.
  • Office Lunch Coordination: Coordinate office lunches and vendor lunch-and-learns, facilitating team collaboration and engagement.
  • Team Events and Celebrations: Assist with the coordination of team events, outings, and birthday celebrations, fostering a positive and cohesive work culture.
