ACCOUNTING ADMINISTRATOR

Retail Contractors is looking for a skilled accounting administrator to perform accounts payable and accounts receivable duties for our Florida office. The accounting administrator will be responsible for a variety of tasks as they relate to the accounting functions of this office. They will process payments to our vendors, overhead, and subcontractors and maintain up-to-date records of all invoices and receipts. The candidate will also provide support to Retail Contractors head accounting office and work with them to meet all of the job needs and accounting needs of this office.

SKILLS AND QUALIFICATIONS

  • Strong understanding of bookkeeping procedures and best practices
  • Impeccable time-management skills
  • Capability to stay organized and maintain detailed records
  • Ability to identify and resolve discrepancies
  • High degree of accuracy
  • Construction background preferred

PREFERRED QUALIFICATIONS

  • Significant accounting admin background
  • Proficiency with accounting software such as Sage / Sage CM / Sage Intacct
  • Advanced knowledge of spreadsheet software such as Excel
  • Excellent communication and interpersonal skills
  • Experience in data entry
  • Effective decision-making and problem-solving techniques
  • Comfortable in a Construction office environment

Responsibilities

OBJECTIVES OF THIS ROLE

  • Ensure all accounting documentation is correctly stored
  • Analyze transaction records to comply with financial policies and procedures
  • Receive and verify billing and requisitions
  • Contact clients to capture timely payments

RESPONSIBILITIES

  • Process AP, & AR including but not limited to Invoicing, coding, approving, and reconciling.
  • New project setup and contract administration
  • Subcontract and PO Set Up
  • Process, send, and store all bank deposits and invoices
  • Evaluate aging reports to ensure payments are up to date
  • Maintain AP/AR records
  • Processing Payments against accounts
  • Sending out subcontractor/vendor lien waivers and check distribution
  • Other Accounting Admin duties as needed
