THE REQUIREMENTS:

  • Experience of 3+ years working in an Accounting Administrator role on commercial, residential, light industrial projects.
  • Strong contract & account reconciliation skills are required.
  • Degree/Diploma/Certificate in accounting or bookkeeping is considered an asset.
  • Must have strong administrative skills, with exceptional organizational skills and high attention to detail.
  • Excellent communication skills, proactive approach with willingness to work independently as well as part of a team.
  • Previous experience with financial systems and basic accounting, accounts payable, project accounting.
  • Highly competent with Microsoft Office suite: Outlook, Excel, Word, and Teams.
  • Familiar with Sage Intacct Accounting Software is preferred.

Your day-to-day responsibilities will include:

  • Process monthly progress claims from subtrades; including review, preparing for approval, and confirmation of supporting documents.
  • Release and issue payments to subtrades for all locations once payment has been received from the client; ensuring that all the appropriate paperwork has been submitted for release.
  • Prepare holdback summaries once the holdback billing has been approved. Ensure all documents as per contract have been received prior to releasing holdback to trades.
  • Management and posting of subcontracts and subcontract change orders.
  • Reconciling progress claims and subcontracts with subtrades.
  • Track, enter, and reconcile the credit card statement.
  • Setting up folder for invoicing each month.
  • Filing as required.
  • Company banking to issue EFTs for approval and other payment types.
  • Assisting the Controller on a as needed basis and providing coverage for vacation time
