PAF is seeking a full-time Accounting and Payroll Coordinator to join our accounting and finance team here in Hampton, VA. Under the direction of the Assistant Controller, the Accounting and Payroll Coordinator is responsible for all aspects of payroll administration, processing, and reporting for all employees. The Accounting and Payroll Coordinator is also responsible for reconciling the accounts payable general ledger and ensuring all invoices are properly paid and reconciled. This role will also be responsible for credit card reconciliations, reconciliation of balance sheet accounts, month-end accruals, and payroll journal entries.

QUALIFICATIONS:

  • 2 to 5 years of experience in payroll administration required
  • Experience with the ADP platform required
  • 5+ years of hands-on accounting experience required
  • Must possess a thorough knowledge of the laws, regulations, and guidelines concerning payroll/personnel administration, FLSA, and Workers Compensation
  • Working knowledge of MS Office products

Responsibilities

PAYROLL ADMINISTRATION DUTIES:

  • Responsible for the bi-weekly payroll administration, preparation, maintenance, and subsequent submission of payroll data for all PAF and NPAF employees
  • Assist with required changes and updates within the ADP system, including information such as tax withholding and/or deductions
  • Serve as the primary point of contact for internal and external garnishment and tax related payroll inquiries
  • Review/analyze court orders, child support orders, and tax liens to ensure compliance with applicable federal and state, laws, rules and regulations
  • Maintain, calculate, and input into ADP all required federal and/or state wage garnishments, including but not limited to child support orders, tax liens and general garnishments
  • Process garnishments and taxes for multi-state payroll under strict deadlines while ensuring all entries and system outputs are in compliance with all state and federal laws
  • Audit appropriate payroll reports generated by ADP for accuracy
  • Analyze and process off-cycle pay, adjustments and reversals as needed
  • Correspond with Federal, State and local authorities as needed
  • Serve as subject matter expert regarding garnishments and payroll tax
  • Maintain the payroll database and manage all payroll records
  • Determine root cause of discrepancies by collecting and analyzing information under strict deadlines
  • Prepare annual statements such as W-2’s
  • Prepare and submit requested reports, schedules and exhibits required for the following annual audits:
  • Workman’s Compensation audits for PAF and NPAF
  • Financial Audits for both PAF and NPAF
  • 401K Audit for PAF
  • Other payroll audits such as VEC
  • Assist with the development of Payroll policy and procedures, contingency plans, and process improvement initiatives to enhance accuracy and efficiency

ACCOUNTING ADMINISTRATION DUTIES:

  • Receive, verify, and process vendor invoices to include:
  • Retaining supporting documentation to ensure accuracy of the invoice.
  • Obtaining approval for payment when required.
  • Matching purchase orders when required.
  • Ensuring timely payment.
  • Vendor Account setup and changes – Follow and update internal company SOP as needed.
  • Maintain and respond to outstanding/variances in vendor invoices.
  • Communicate with vendors to create and maintain vendor/company relationships.
  • Reconcile vendor statements received with AP vendor aging.
  • Reconcile of AP Aging, AP Ledger, and AP Register.
  • Reconcile and manage company credit cards.
  • Record necessary journal entries in Sage Intacct Accounting software.
  • Reconcile balance sheet accounts related to liabilities.
  • Prepare financial reports and schedules as needed.
  • Understand payroll reconciliations using ADP and Excel
  • Assist with preparation of reports and assure their timely distribution
  • Send out employee communications as directed
  • Manage highly confidential and proprietary information
