As our next Administrative Assistant, you will facilitate the efficiency of operations through clerical and administrative responsibilities. As the face of Carolina Sweepers to our customers, vendors, subcontractors, employees, and others, you will execute your various tasks with our reputation - as an established service provider with a personal touch - in mind. Your support to our staff will be critical to our success. This is the perfect position for someone who has experience in administrative work and an eye for detail. A can do attitude is a must! Responsibilities: Prepare and process invoices accurately and in a timely manner Audit vendor and subcontractor invoices for purchase numbers and accuracy Assist in tracking subcontractor compliance documentation (W-9s, lien waivers, insurance certificates) Reconcile statements and resolve billing discrepancies Maintaining filing systems as assigned Retrieving information as requested from records, email, and other related documents; preparing written summaries of data when needed Answering, screening callers, and transferring phone calls to the appropriate extension Welcoming and directing visitors and clients Provide general office support and support to management Performing other related duties as assigned Work on special projects and/or other duties as assigned Benefits: Health and Life insurance with employer contribution Dental and Vision insurance Simple IRA retirement plan with employer matching 3% Paid vacation Holiday pay - Starting immediately Tenure bonuses Company laptop and phone reimbursement Requirements Requirements: Excellent verbal and written communication skills Excellent interpersonal and customer service skills Excellent attention to detail Proficient in Microsoft Office Suite or related software Excellent organizational skills and attention to detail Understanding of clerical procedures and systems such as recordkeeping and filing Strong understanding of basic accounting principles Ability to work independently Experience in QuickBooks 2+ years required 2+ years of experience in accounting, AP, AR, or bookkeeping Ability to work in a fast-paced environment Are you interested in joining our team as we set ourselves apart from the competition and provide the quality service that our customers deserve?
