JOB DESCRIPTION: ACCOUNTING ASSISTANT

We are seeking a skilled and experienced Accounting Assistant to support the Accounting department by computing, processing, analyzing, recording and verifying data for use in maintaining accounting records. This is a full-time position operating out of our Coconut Creek, FL office.
This position works under general supervision, and assists in the development of accounting work methods and sequences. The candidate is required to independently perform professional accounting functions, exhibit strong analytical skills, be knowledgeable of accounting systems to process financial transactions, and maintain a high level of accuracy in completing assigned accounting tasks in a fast-paced environment. Excellent verbal, written, and interpersonal skills are a must.

REQUIRED SKILLS AND KNOWLEDGE

To excel in this position, you should possess the following skills and knowledge:

  • Experience: Previous experience in accounting, bookkeeping, or a general office environment. Experience within the construction industry is a plus.
  • Technical Skills: Proficiency in accounting software (Quickbooks) and CRM system (Hubspot), Microsoft Office Suite/Google Workspace, particularly advanced Excel skills.
  • Excellent organizational and time management skills, with a focus on attention to detail.

PREFERRED QUALIFICATIONS

  • Bachelor’s degree in Accounting, or related field.
  • Previous accounting/bookkeeping experience.
  • Experience with advanced Excel.
Responsibilities

In this role, you will be responsible for a variety of tasks, including:

  • Accounts Payable: Process and route invoices from vendors and subcontractors. Match purchase orders with invoices and enter data into the company’s accounting software (Quickbooks) and CRM (Hubspot).
  • Accounts Receivable: Assist with billing, invoicing clients, and processing incoming payments. Help monitor aged receivable reports and assist with collections on overdue accounts.
  • Payroll / Timeclock Processing: Ensures accurate hours for employees and process weekly payrolls.
  • Reconciliations: Perform daily or weekly reconciliation of accounts, including bank and credit card statements.
  • Financial Data Management: Collect, sort, and organize financial information and documents. Maintain accurate filing systems for invoices, contracts, and other financial records.
  • Reporting: Compile and prepare financial reports and spreadsheets, including monthly management and month-end closing reports.
  • Data Entry: Enter financial data into accounting software or databases, ensuring accuracy.
  • Permits and Fees: Assist with the accounting for payments, fees, and compliance related to Florida permits.
  • Cash Flow Tracking: Support the regular monitoring of project and overall company cash flow.
