The Accounting Assistant will handle a wide range of accounting, executive support, and administrative related tasks supporting all programs, under the direction of the Finance Director. Must be Team Oriented and be able to work independently with little or no supervision.
SKILLS AND ABILITIES REQUIRED:
· Must be able to a pass a fingerprint background check and drug test, including cannabis.
· Two (2) years Experience with QuickBooks payroll and payroll liabilities required.
· Experience with QuickBooks payables and credit card transactions required.
· Highly proficient in Microsoft Excel, Word, and Outlook.
· Combination of experience and education in double entry accounting and understanding of GAAP preferred.
· Ability to maintain a high level of attention to detail and accurate record-keeping.
· Ability to analyze and systematically compile technical and statistical information to prepare reports; comprehend and make inferences from written material; interpret federal, state, and local government laws and regulations regarding grant agreements, contracts, and administration.
· Communicate orally and in writing with customers, vendors, clients, or the public. Work effectively with a variety of staff, governmental representatives, and the public.
· Ability to work under pressure and with sometimes conflicting deadlines.
· Grammatical, spelling, editing, and proof-reading skills required.
· Familiarity with Balance Sheets and Income Statements preferred.

Payroll:
· Verify timesheet coding to be in compliance with the organization’s coding structure.
· Input payroll and personnel data into QuickBooks system, computing wages, preparing, and issuing bi-weekly payroll.
· Payroll tax payments and quarterly and yearly tax reports and forms.
· Compiling, verifying, and submitting payroll data such as payroll taxes, benefits, annual leave/holidays, insurances, and other deductions.
· In conjunction with the Finance Director, provide payroll data to support external audits such as workers’ compensation, funders, and annual organizational audit.
· Ensure compliance with applicable State and Federal employment and payroll laws and regulations and maintain knowledge of applicable requirements.
· Review changes and update employee records and maintain payroll and employee files.
Accounts Payable:
· Review and enter vendor invoices and credit card charges into QuickBooks.
· Monitor accounts and process payments.
· Communicate effectively and professionally with management, vendors, and contractors.
· Maintain accounts payable files.
Other Duties – will also perform or act as backup to the responsible staff member:
· Cash/Accounts Receivable.
· Support Executive staff and Program Managers with financial reporting.
· Assist with record retention management.
