The Accounting Assistant provides operational support to the Accounting Manager through daily Accounts Payable (AP) processing, invoice documentation, and vendor record maintenance. This role also supports Accounts Receivable (AR) activities, including cash receipts, collections, and customer invoice posting. This role ensures timely and accurate processing of invoices and payments while supporting overall accounting operations, with a primary focus on transactional accounting tasks and administrative support. Essential Duties/Responsibilities Accounts Payable Processing Download, organize, and maintain vendor invoices and supporting documentation Review invoices for completeness and prepare for entry into the accounting system Enter approved invoices into the Quantum/TFBO accounting system Route invoices for approval and follow up on outstanding approvals as needed Apply credit memos and assist with resolving basic invoice discrepancies Maintain accurate and organized electronic records of invoices and vendor documentation Payment Processing Support Assist with preparation of payment runs including check runs and EFT processing. Prepare payment documentation for review and approval by the Accounting Manager. Upload POS-Pay files and assist with payment reporting as directed. File and archive remittance documentation. Accounts Receivable Processing Receive and process customer payments, including checks and credit card transactions Scan and deposit checks and apply payments to open AR in the accounting system Process credit card payments through the merchant portal and apply to customer accounts Maintain accurate AR records and support reconciliation of customer accounts General Support Maintain and update vendor and customer records in the accounting system Assist with vendor statement reconciliations and follow up on outstanding items Post customer invoices Work Packages and Over-the-Counter after review Provide administrative and operational support to the Accounting Manager Support day-to-day activities that contribute to an efficient month-end close process Requirements Skills/Qualifications Associate’s degree in Accounting, Business, or related field, or equivalent experience 1–3 years of experience in accounts payable, accounting support, or bookkeeping preferred. Experience with accounting or ERP systems preferred. Strong attention to detail and organizational skills. Ability to manage multiple tasks and meet deadlines. Professional communication skills and a collaborative work style.
