ACCOUNTING ASSISTANT POSITION DESCIPTION

Pilgrims Hospice Society (PHS) is a registered charity that provides supportive and compassionate family-centered care to enhance the quality and dignity of life for those diagnosed with a progressive, life-limiting illness as well as support to those who are grieving the death of a loved one, from any cause.
Reporting to the Manager, Finance, and working collaboratively with the Accounting & Administration team, the Accounting Assistant is responsible for the data entry in accounts receivable, accounts payable, and the general ledger. The Accounting Assistant will work closely with the Finance & Accounting Team to ensure accurate financial transactions, maintain proper documentation, and contribute to the month-end and year-end processes.
This is a temporary, part-time position, working fifteen (15) hours per week in the office on weekdays (Monday-Thursday) between 0830-1630 over the contract term. Work schedule is flexible and may consist of either full days, or half-days over the course of the term.

MINIMUM QUALIFICATIONS & SKILLS

  • Must be currently enrolled in a related post-secondary education (diploma/degree) program (Accounting, Finance). Minimum of third year of education completed, preferred.
  • Experience in Accounting (Payables or Receivables), an asset.
  • Intermediate technical skills in MS Office Word, Excel, Teams, SharePoint and Outlook, required.
  • Experience with accounting software, or Financial Edge, or Raiser’s Edge, an asset.
  • Knowledge of Canadian GAAP and CRA requirements, preferred.
  • Must be driven, self-motivated, and detail orientated.
  • Excellent communication and interpersonal skills with the ability to make appropriate and timely decisions within authority and keep sensitive information confidential.
  • Demonstrated level of maturity, professionalism, including ability to work as a team and in an independent manner.
  • Satisfactory vulnerable sector criminal record check, obtained prior to start date.
    Position Term: August 2025 – October 15, 2025 with possibility of extension

Responsibilities

While ensuring accuracy and timely data entry of financial transactions, the Accounting Assistant, will be required to:

  • Assist in the preparation of financial documents, including accounts payable and receivables within Financial Edge and Raiser’s Edge.
  • Assist with bank deposits, recording cheques and EFT’s received, ensuring back up is electronically attached and filed correctly.
  • Process invoices, employee expenses and vendor EFT’s to ensure all invoices are queued to be paid in a timely manner, in accordance with payment terms.
  • Monitor invoicing inbox and act as a point of contact for finance/accounting related questions from staff, vendors and donors.
  • Assist with the maintenance and implementation of internal controls, policies and new initiatives to ensure compliance within all departments of the organization.
  • Maintain proper records and documentation to support the yearly audit with the external auditors and for compliance purposes.
  • Undertake additional duties from time to time to provide backup support and coverage to the Finance & Accounting team during absences (vacation coverage) and during peak workload periods (month end, year-end, fundraising events).
