The Accounting Associate is responsible for accounts payable, payment issuance, accounts receivable, job costing, labor cost tracking, tax returns, etc. as well as day to day business transactions. Responsibilities include taking the initiative to streamline, improve efficiency, identify opportunities, and try new approaches. Requirements Responsibilities Enter invoices into job costing software to include overhead costs, subcontracting, job & equipment repair, payroll and temporary staffing costs Review and reconcile Accounts Payable vendor statements Process payment for subcontractors and audit subcontracts before retainage Process project related invoices; verifying receipt of item or service, sales tax calculations, and appropriate authorization for payment Perform period end responsibilities and meeting processing deadlines Support the Accounting Department through impromptu reporting and special projects when requested Collaborate with payroll administrator by providing employee hours, running parallel payrolls for job costing purposes, and reconciling discrepancies in data Collaborate with staffing agencies by providing temporary worker hours, reconciling hours worked, and processing invoices Enter and maintain employee and temporary worker data in job costing software; enter manual data as needed for differential and other pay codes Enter and maintain equipment data in job costing software Establish and maintain professional communication with all internal and external project stakeholders Develop good working relationships with other departments including but not limited to; Administrative Assistants, Project Manager, Estimating, and Site Work Crews Communicate with vendors & customers to resolve issues Education and Experience Three to five years of experience in cost accounting Viewpoint and B2W software experience a plus Construction background preferred Experience with construction subcontracts a plus Proficient in all Microsoft Office products, including advanced Excel experience, with a demonstrated ability to learn and adapt to new technology Skills and Abilities Ability to streamline processes and eliminate manual interventions Ability to multitask and perform under pressure Attention to detail Effective interpersonal, communication, and organizational skills are essential High degree of ethics: ability to maintain confidentiality with respect to sensitive information, and conduct oneself in a professional and courteous manner that demonstrates integrity, trust, care and collaboration Strong communications skills: ability to effectively convey information to others, and actively listen to employee and customer questions Strong analytical and problem-solving skill
