Responsibilities

PRIMARY PURPOSE OF THE JOB

The Accounting Clerk is responsible for performing a variety of routine and frequently non- routine clerical accounting functions in one or more of the following areas: general bookkeeping, accounts receivable, or accounts payable. These functions include compiling and sorting documents, calculating and verifying amounts, posting transactions to accounts and performing all other responsibilities as directed by the business or as assigned by Management.

RESPONSIBILITIES:

Accounts Payable

  • Collect or retrieve all vendor invoices and import them to AP system.
  • Code invoices for department head approval.
  • Perform final review and approval of all coded invoices.
  • Export approved invoice to Property Accounting System (M3).
  • Perform weekly check runs.
  • Review vendor statements on a regular basis to ensure all invoices are on hand or paid.

Cashiering

  • Prepare hotel’s daily bank deposit and ensure deposit ties to PMS and POS systems.
  • Record cash over/shorts daily and distribute cash over/short reports
  • Verify accuracy of and process all due-back amounts.
  • Process petty cash purchases. Prepare and submit petty cash reimbursements in accordance with accounting policies and procedures.
  • Reconcile General Cashier vault daily and report any fund discrepancies
  • Ensure sufficient cash to provide change to cashiers.
  • Maintain required records, reports, and files in an organized manner.
  • Perform other related duties as directed or as the situation dictates.
  • Research and respond to all credit card chargebacks and transaction inquiries.
