Description JOB SUMMARY The Accounting Clerk I supports the organization’s accounting operations by maintaining accurate financial records, performing general ledger entries, account reconciliations, and assisting with month-end closing activities. The Accounting Clerk I also provides backup support for payroll processing, including data entry, reconciliations, tax payments, and responding to employee inquiries, ensuring continuity of payroll operations when needed. Working closely with the Controller, this position assists with audits, reporting, documentation, and ongoing process improvements to maintain the integrity and accuracy of the accounting system. JOB SPECIFIC FUNCTIONS Accounting · Prepares and posts routine journal entries to the general ledger. · Performs inventory counts and update accounting records as needed. · Prepares affiliate invoices to properly account for affiliate charges. · Reviews credit card charges and codes to proper accounts. · Assists Controller with month-end closing process. · Processes daily bank deposits as needed. · Retains and reviews accounting documents and reports. · Maintain accurate and organized accounting records and supporting documentation. · Reviews financial transactions and documents; confirms proper approval. · Prepare basic financial reports and spreadsheets in Excel. · Prepares payroll journal entries for the general ledger. Tax and Reporting · Prepares and files sale and use tax. · Prepares accurate quarterly and annual tax reports. · Ensures compliance with regulations by forwarding required information to federal, state, and local agencies. Payroll (as needed) · Maintains payroll information by collecting, calculating, and entering data. · Processes bi-weekly staff payroll. · Processes daily temporary labor payroll adjustments. · Processes staff garnishments. · Prepares, posts and processes tax payments. · Funds and reconciles 401k accounts with staff payrolls. · Responds to payroll inquiries. · Reviews payroll reports for accuracy and completeness. · Reviews payroll transactions including calculations, deductions, and withholdings. Garnishments (as needed) · Prepares and processes garnishment payments to federal, state and local jurisdictions for wage attachments and child support. · Ensures garnishments are applied and completed in accordance with State and Federal rules and regulations to ensure the deductions are applied appropriately and accounts can be closed for financial reporting. · Prepares, sends and files earnings disclosures; prepares answers to writs of garnishment. · Manages all Garnishments and Tax reporting requirements. · Reviews, processes and responds to garnishment orders. · Responds to inquiries from employees and vendors regarding garnishments and levies. General · Assists with providing documentation for management, auditors, and other external parties. · Develops job knowledge by participating in training and educational opportunities. · Complies with policies, procedures, and applicable regulations. · Provides recommendations for continual improvement of processes and position responsibilities. · Performs other related duties as assigned. Requirements QUALIFICATIONS Education & Experience: · Two years of bookkeeping experience is preferred. · High school diploma or equivalent required. Licensure/Certification: · Certificate in Accounting is preferred. Skills / Abilities: · Knowledge of generally accepted accounting principles (GAAP). · Strong mathematical and analytical skills. · Advanced proficiency in Microsoft Excel. · Demonstrated ability to maintain confidentiality and comply with privacy requirements. · Proven ability to manage multiple tasks and priorities simultaneously. · Excellent verbal and written communication skills. · Ability to read, interpret, and analyze financial reports.
