POSITION SUMMARY The Accounting Coordinator supports the Accounting Team by processing vendor invoices, maintaining accurate AP documentation, and assisting with payment schedules and reconciliations. This role provides essential operational support to ensure timely and accurate financial transactions within the AP function. KEY RESPONSIBILITIES 1. Invoice Processing Support Review and input vendor invoices into the accounting system with accurate details. Verify supporting documents (PO, receipts, approvals) for completeness. Maintain organized digital and physical AP records. 2. Payment Scheduling & Execution Assistance Support preparation of weekly and monthly payment schedules. Assist in checking payment accuracy before execution. Communicate with internal teams regarding payment status and required approvals. 3. Reconciliation & Issue Resolution Assist with vendor statement reconciliations to identify discrepancies. Follow up on missing documents, incorrect charges, or unmatched invoices. Escalate unresolved issues to senior accountants for further review. 4. Compliance & Documentation Management Ensure AP files meet internal policy requirements and audit standards. Support preparation of documentation for internal and external audits. Maintain accurate tax-related documentation for AP transactions. 5. Cross-Functional & Administrative Support Collaborate with Procurement, Finance, and other teams to resolve invoice/payment questions. Support monthly and quarterly closing activities by providing AP data. Assist with ad‑hoc projects to improve AP workflows and process efficiency.
