TITLE: ACCOUNTING & HR ADMINISTRATOR

REPORTS TO: Chief Financial Officer (CFO)
DESCRIPTION: Responsible for performing all functions associated with human resources, the administration of payroll procedures and general administration of the organizations benefits plan. In conjunction with CFO, assists with Association’s daily Accounting processes.

DESIRED QUALIFICATIONS:

The candidate should have a Bachelor’s degree in finance, accounting, business administration or equivalent business experience and 5+ years of progressively responsible experience. Excellent communication skills are essential. Ability to maintain confidentiality and discretion.

Responsibilities
  1. Maintains and enhances the Association’s human resources by planning, implementing, and evaluating employee relations and human resources policies, programs, and practices.
  2. Researches, selects, administers, processes, and maintains the company benefits program, including the annual benefits meeting, timely enrollment, changes, terminations, COBRA, life insurance and long term disability claims.
  3. Administers all 401(k) functions including contributions, loan repayments, withdrawals, and transfers. Processes 401(k) with Empower Retirement on each payroll date.
  4. Processes quarterly 401(k) Safe Harbor contributions (3%) and the yearly profit sharing contributions (5%) with Empower Retirement.
  5. Distribute all 401(k) mandatory fiduciary notices, facilitate the annual compliance review and filing of IRS Form 5500.
  6. Collects all hourly employee timesheets and verifies that time off, overtime, etc. are accurately reported and all required signatures are present.
  7. Maintains Paid Time Off (PTO/PST) for all employees. Responsible for accuracy and answering any employee questions regarding their individual PTO/PST time available or used.
  8. Process payroll and verifies that overtime, PTO, PST, 401(k) contributions, and insurance deductions are accurately accounted for.
  9. Track annual reviews: Send monthly notices of upcoming reviews to Area Managers and Supervisors. Maintain annually revised Position Descriptions as well as updated Position Manuals from each employee.
  10. Provides quarterly Burdened Payroll report to CEO & CFO for review.
  11. Processes monthly payroll liability payments for BCBS AZ, Health Equity HSA/FSA, EyeMed, Delta Dental, AFLAC, and UNUM. Review each for accuracy
  12. Processes end-of-year PTO payout and all bonus requests
  13. Maintain insurance binder, request insurance certificates when necessary and verify that all coverage’s are up-to-date:
    · Business Service Bond
    · General Liability (Hartford)
    · Errors and Omissions
    · Ombudsman/Professional Liability Insurance
    · Patent Litgation Insurance
    · Worker’s Compensation
    · Notary Bond
    · ERISA Bond (CBIC)
    · WRAP Document ( Welfare Benefit Plan)
  14. Maintains labor allocation records for the completion of quarterly Worker’s Compensation reports and annual policy audit
  15. Conducts new employee orientation, including benefit coverage’s, payroll requirements, and regulatory employment documentation
  16. Handles all calls and faxes related to personnel verification
  17. Maintains personnel files including records of insurance coverage’s, pension plan, and personnel transactions such as hires, salary increases, terminations, employee reviews, etc
  18. Responsible for accounts payable functions.
  19. Processes annual 1099 filings and maintains vendor W-9’s.
  20. Completes and files census and survey filings.
  21. Responsible for TPT licenses and renewals.
  22. Assists with accounting functions relevant to the daily operations of the Association, including those listed below and others which may from time-to-time be established:
    · AAR General Fund, Capital Purchase and Reserve, Operating Reserve, Political Survival, Issues Mobilization Funds, and Strategic Initiative Funds
    · Realtors of Arizona Political Action Committee
    · Arizona REALTORS Fair Housing & Community Outreach
    · Arizona REALTORS Disaster Assistance Foundation, Inc.
    · Rocky Mountain Region XI
  23. Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records
