POSITION OVERVIEW The Accounting Manager plays a key role in supporting the financial operations of Rimrock Trails Treatment Services. Reporting directly to the Finance Director, this position oversees core accounting and financial administration functions including accounts receivable, accounts payable, payroll processing, and financial record maintenance. This role helps ensure the financial systems supporting the organization operate efficiently, accurately, and in alignment with nonprofit financial management standards. The position works closely with leadership and operational teams to maintain strong financial practices that support the agency’s mission and program sustainability. Working closely with the Finance Director, this role provides broad exposure to nonprofit financial management and offers opportunities to expand leadership and financial oversight responsibilities over time, including the potential to develop the experience necessary for future advancement into the Finance Director role as organizational needs evolve. ESSENTIAL POSITION RESPONSIBILITIES Financial Operations Oversee and perform daily financial operations including accounts receivable, accounts payable, payroll processing, and financial record maintenance. Maintain accurate financial records and ensure transactions are recorded in accordance with agency accounting procedures and nonprofit financial management standards. Review and reconcile financial transactions to ensure accuracy, completeness, and compliance with internal financial controls. Assist with month-end and year-end closing activities, including reconciliation of accounts and preparation of financial documentation. Maintain organized financial records to support internal review, external audits, and regulatory compliance. Payroll Administration Manage payroll processing and ensure accurate and timely payroll operations. Maintain payroll records and ensure compliance with applicable wage and hour laws, tax regulations, and internal payroll policies. Coordinate with Human Resources regarding employee payroll changes, deductions, and benefit-related payroll adjustments. Assist with maintaining payroll systems and procedures to support operational efficiency and compliance. Accounts Payable and Accounts Receivable Oversee vendor payments and ensure invoices are processed accurately and in a timely manner. Monitor accounts receivable activities and assist with maintaining accurate billing and collection processes. Maintain documentation related to vendor transactions and client billing activities. Collaborate with program and administrative staff to ensure proper coding and documentation of financial transactions. Financial Reporting and Administrative Support Assist the Finance Director with financial reporting, internal financial tracking, and budget monitoring. Support preparation of financial reports and documentation for leadership review. Participate in improvements to financial workflows and internal control procedures. Maintain strict confidentiality and security of financial and personnel information in accordance with agency policies and applicable regulations. Organizational Collaboration Work collaboratively with program managers, administrative staff, and leadership to support effective financial operations across the organization. Provide financial administrative support that enables program teams to focus on delivering high-quality behavioral healthcare services. Demonstrated ability to maintain accurate documentation within established timelines for payroll, benefits administration, and accounting functions. Prior leadership or supervisory experience. Ability to travel to Prineville office for work on a weekly basis (Tuesdays 8am-12pm) Preferred Bachelor’s degree (BA/BS) in Accounting, Business Administration, Finance, or a related field and three or more years of relevant experience, or professional designations such as Certified Public Accountant (CPA), Certified Management Accountant (CMA), or other relevant accounting, payroll, or financial management credentials. Experience working in a nonprofit, healthcare, or behavioral health environment. PHYSICAL JOB DESCRIPTION Typical Working Conditions This position primarily operates in a professional office environment, both onsite and remotely. Duties require prolonged periods of sitting at a desk and working on a computer. The employee must be able to move throughout the organization’s facilities as needed. Equipment Used Telephone system, computer, copier/printer/binding equipment. Essential Physical Tasks The position requires the ability to occasionally operate standard office equipment including, but not limited to, computers, printers/copiers, and document binding equipment. Travel Required minimum 4 hours weekly in Prineville office
