About the Role: The Accounting Services Manager is responsible for leading and optimizing centralized finance operations, including Accounts Payable (AP), Accounts Receivable (AR), Customer Invoicing, and Payroll, for a manufacturing organization operating on QAD ERP. This role ensures accuracy, timeliness, compliance, strong internal controls, and continuous process improvement across all transaction cycles. The ideal candidate combines strong technical accounting knowledge, ERP process fluency (preferably QAD), manufacturing business acumen, and hands-on leadership capability in a high-growth environment. The position requires a hands-on, detail-oriented finance professional who can build scalable processes, ensure financial discipline, and support data-driven operational decisions in a fast-paced manufacturing startup. Requirements Lead end-to-end AP cycle including vendor onboarding, 3-way match (PO/receipt/invoice), payment processing, and vendor reconciliations. Ensure proper integration between purchasing, receiving, and AP modules within QAD. Manage payment runs (ACH, wire, check), optimize working capital, and enforce payment terms. Maintain SOX-compliant internal controls over disbursements. Drive automation initiatives (EDI, OCR, workflow approvals). Oversee customer billing, cash application, deductions management, and collections. Manage credit risk policies and customer credit limits in coordination with Sales. Monitor DSO and implement strategies to improve cash flow. Ensure accurate revenue recognition support through timely invoicing and reconciliation to subledger. Lead resolution of customer disputes and chargebacks. Ensure accurate generation of invoices from shipments within QAD (including EDI customers). Partner with operations and shipping to ensure proper bill-of-lading and shipment documentation. Maintain pricing integrity and master data accuracy in QAD. Support audit requests related to revenue transaction cycles. Oversee multi-state payroll processing (hourly manufacturing workforce and salaried staff). Ensure integration of timekeeping systems with payroll. Maintain compliance with federal, state, and local payroll tax regulations. Reconcile payroll to GL and ensure proper accruals for bonuses, PTO, etc. Manage payroll audits and year-end processes (W-2s, 1099s where applicable). Lead, mentor, and develop a team of AP, credit/collections/invoicing, and payroll specialists. Establish KPIs (DSO, DPO, invoice cycle time, payroll accuracy, etc.). Implement cross-training to reduce key-person dependency. Drive a culture of accountability, service orientation, and continuous improvement. Maintain strong internal controls over transaction cycles. Ensure timely reconciliations of subledgers to general ledger. Support external audits and internal audit requests. Develop dashboards and operational metrics for senior leadership. ERP & Process Optimization (QAD Focus) Serve as finance subject matter expert for QAD transactional modules. Lead system enhancements, upgrades, and configuration improvements. Optimize workflow automation within QAD (AP approvals, AR cash app, etc.). Partner with IT to resolve system integration issues. Identify opportunities to leverage QAD functionality to reduce manual work. Qualifications Bachelor’s degree in accounting, finance, or related field required. 5+ years of progressive accounting experience; 1-3+ years managing AP/AR/payroll teams in a manufacturing environment preferred. Strong intellectual curiosity and bias toward action; consistently investigates issues beyond the surface, defines next steps without direction, and takes ownership to resolve problems end to end. Strong understanding of 3-way match in manufacturing environments, inventory and purchasing flow impacts on AP, revenue transaction cycles tied to shipping, multi-state payroll accounting and accruals, and proficiency in EDI environments preferred. Process oriented with a strong internal control and continuous improvement mindset.
