Responsibilities

    1. General Accounting Support

    • Assist with monthly financial close activities by preparing journal entries and reconciling general ledger accounts under the supervision of the Accounting Manager.
    • Maintain and organize accounting documentation (invoices, receipts, journals, etc.).
    • Prepare and upload CSV data to the accounting system for AP, AR, and journal entries.
    • Perform data entry and maintain accuracy of financial records.

      1. Accounts Payable

      • Process vendor invoices and ensure timely payments via online banking.
      • Match purchase orders and receipts to invoices.
      • Monitor AP aging and help resolve vendor inquiries.

        1. Accounts Receivable

        • Prepare customer invoices and upload AR data for key customers (e.g., Toyota, Honda, Chrysler).

        Reconcile customer accounts and assist with collection efforts.

        • Generate monthly AR aging reports and flag overdue accounts.

          1. Payroll & Employee Benefits

          • Support accounting manager’s payroll processing task and submitting required reports to Paycor. Maintain payroll records and book keeping.
          • Ensure timely and accurate processing of Simple IRA employee deferrals and employer contributions.

            1. Fixed Assets & Inventory

            • Assist with fixed asset tracking, including additions, disposals, and depreciation schedules.
            • Assist with semiannual physical inventory audits.

              1. Tax & Compliance Support

              • Prepare supporting schedules for tax filings (state and federal).

              Help gather documentation for Deloitte Tax LLP and regulatory agencies.

              • Assist with preparation of reports such as WV Sales/Use Tax, OH CAT, and state annual reports.

                1. Audit Preparation

                • Support internal and external audit activities by compiling requested documents and data.
                • Assist with intercompany transaction reporting and year-end closing schedules.

                  1. Administrative Duties

                  • Answer Accounitng department phones and emails.

                  Support 5S and Kaizen improvement efforts in the department.


                    1. Cross-Functional & Backup Support

                    • Provide backup support for accounting staff during vacations or absences.
                    • Handle selected managerial tasks in the absence of the Accounting Manager as assigned.
                    • Participate in cross-training and ongoing process improvement projects.Requirements for the Bilingual Administrative Assistant:
                    • Bachelor’s Degree with Accounting, Finance, or related major or minimum 3 years of accounting experience
                    • Proficiency in MS Word, Excel, and PowerPoint at an Intermediate or higher level
                    • Excellent interpersonal communication skills – speak and write
                    • Strong at numbers and calculation
                    • Team worker, punctual, organized, details oriented
                    • While performing the duties of this job you may be required to intermittently sit, stand, walk, lift up to 20 pounds, lift in excess of 20 pounds with a lift assist, climb stairs, use hands to handle or feel parts/equipment, reach with hands and arms, stoop, kneel, crouch, bend at the waist, talk and hear.
