About the Role The Construction Billing & Payroll Specialist supports the day-to-day accounting operations for both construction and service teams. This role is responsible for billing, job costing, accounts payable and receivable processing, and assisting with payroll coordination. Working closely with the Controller, this position helps maintain accurate financial records, ensures project billing aligns with contract requirements, and supports efficient accounting workflows through the company’s ERP system. Key responsibilities include: Preparing and submitting AIA progress billings (G702/G703) based on project milestones and percentage of completion Reviewing contracts to ensure billing compliance, including retainage and schedule requirements Tracking and billing approved change orders and coordinating subcontractor invoices Supporting payroll processing, including timesheet entry, reporting, reimbursements, and deductions Partnering with project managers and field teams to verify job costs, labor hours, and materials Managing accounts receivable and collections, monitoring aging reports, and reconciling billing accounts Maintaining organized billing documentation, preparing lien waivers, and assisting with month-end close Supporting audit preparation and other accounting tasks as needed What You Bring 5+ years of experience in construction billing, payroll, AR/AP, or accounting operations Experience preparing AIA billing and progress payments in a construction environment Strong working knowledge of accounting systems or ERP platforms Advanced proficiency with Microsoft Excel and Microsoft Office Solid understanding of job costing and basic accounting principles High attention to detail and strong organizational skills Ability to communicate clearly with accounting staff, project managers, and field teams Discretion and professionalism when handling financial information High school diploma required; Associate’s degree in accounting or related field preferre What We Offer Competitive compensation based on experience Stable, full-time position within a growing construction organization Collaborative team environment with direct access to leadership Opportunity to work closely with both accounting and operations teams Standard weekday schedule in an office-based environment Office-based in Gilbert, Arizona; hybrid flexibility may develop over time Standard office environment, heavy computer use
