Summary This is a technical clerical position performing bookkeeping and accounting functions. Duties will include processing accounts payable and receivable for the organization. Primary Duties Purchase Orders: Review for procurement, accuracy, and completeness to ensure compliance with current policies and procedures. Sets up vendors in accounting software MIP. Client Training & Support Purchase Orders: Works with program staff to monitor, review and close out client training and support purchase orders timely. Follow up on outstanding purchases orders with vendors and staff. Accounts Payable: Pre-audit vendor invoices submitted for payment, includes checking documentation submitted, assigning and inputting appropriate accounting codes to automated accounting system and generating checks and disbursement reports. Accounts Receivable: Invoice contract/agreement receivables due and track payments received. Deposit checks to proper programs for booking deposits. Reloadable Debit Cards: Track and load client debit cards and process cash requests for funds and card orders. Data Entry: Assist with data entry activities as needed. File Storage: Responsible for storage and maintenance of electronic files and related documentation. Payroll: Assist with payroll processing activities as directed by supervisor. Working with the Accounting Manager, develop strategies to improve processes/increase efficiencies. Perform other duties as directed by supervisor. Requirements Education and Experience – High School Diploma or equivalent. Associate degree from an accredited university or college in Business, Accounting or related field or 2 years related work experience preferred. Equivalent combination of education and experience may be substituted. Experience in non-profit accounting a plus but not required. Technical Requirements – Proficient computer skills and the ability to use spreadsheets and accounting software packages. Knowledge of standard bookkeeping and accounting practices and procedures. Able to assemble, organize, record, compute and reconcile numerical data and financial transactions as related to the accounting process. Due to the sensitive nature of this position, incumbent must be able to pass a criminal background and credit screening. Required to provide own high-speed internet for hybrid work.
