POSITION DESCRIPTION:
Assist with ensuring that vendors and section documents are maintained accurately and processed promptly. Maintain accurate LMD-F records. Copy, file, fax and scan documents concerning vendor invoice payments and credits needed for reimbursement. Assist with record as needed. Facilitate mail distribution. Research documents needed to answer vendor questions as required. Assist Accounting in researching and pulling check numbers for numerous payments. Assist in the preparation of making payments (Coding invoices). Contact vendor for invoices, adjustments and credits for payment. Assist with daily and monthly reconciliations. Verify validity of purchase orders and make necessary corrections. Assist with daily operations. Aid the Accounts Payable Manager/Supervisor and other accounts payable employees. Maintain open lines of communication with LMD Fiscal Team members, Federal partners and other Louisiana Military Department employees in order to facilitate the efficient payment and reimbursement processes on behalf of the Louisiana Military Department. Compose and maintain spreadsheets and other documents for assigned for tracking purposes. Reconciles program funds for the assigned appendixes with Budget/Fiscal Techs and Program Managers. Responsible for the preparation and processing of the Centralized Personnel Plan vouchers for the assigned appendixes. Perform other duties as assigned.
POSITION QUALIFICATIONS:
Required – Two years of accounting or finance field experience. Must possess excellent communication skill both oral and written. Must have ability to work and communicate effectively with peers, superiors and subordinates. Must possess strong organizational skills. Must be able to work independently to meet established deadlines and objectives. Working knowledge of the Integrated Statewide Information System (ISIS). Experience working with structure/functions of the Louisiana Military Department and the Louisiana National Guard. Computer skills to include Windows and Office Programs (Word, Excel, Access, PowerPoint and Outlook). Ability to review documents for accuracy and completeness. Ability to compose and maintain spreadsheets. Ability to operate office equipment. Must complete Fiscal Law Course. Must complete Cooperative Agreement Training.
GENERAL: Must have a valid Driver’s License, Social Security Card and Birth Certificate. Must qualify to obtain a Department of Defense Common Access Card (CAC) Card. Periodic travel may be required. Must be available to report to duty during emergency or disaster situations. Must have the ability to work and communicate effectively with agency personnel, peers, superiors, subordinates and the public.
OTHER REQUIREMENTS: Must meet physical requirements to perform functions of the position. Must attend/complete all LMD annual training and other training required for the position. Must adhere to the Code of Ethics and foster a Sexual Harassment-Free Environment.
