Company Description Set on the banks of the majestic Kafue River, Anantara Kafue River Lodge offers an exclusive safari experience in the heart of one of Africa’s most pristine wilderness areas. We are seeking a highly organised and detail‑oriented Accounts Administrator to support our Stores and Inventory function. This role is responsible for ensuring accurate inventory records, proper documentation of stock movements, and compliance with financial controls relating to stores, issuance, and procurement. This is a critical operational role that supports cost control, financial accuracy, and smooth supply‑chain operations across the business. Job Description Maintain accurate and up‑to‑date inventory records in the system, ensuring all receipts, issues, and transfers are properly documented. Monitor stock levels regularly to identify variances, shortages, excesses, or potential stock‑outs. Conduct daily, weekly, and monthly stock reconciliations with physical counts. Support periodic cycle counts and annual stock‑takes, ensuring proper documentation and timely variance reporting. Track expiry dates, stock aging, and slow‑moving items to minimise waste and optimise inventory usage.Process Goods Received Notes (GRNs), delivery notes, and invoices to ensure correct posting into the system. Verify all incoming goods against purchase orders for accuracy in quantity, description, and pricing. Support procurement and stores teams in ensuring proper storage conditions, product labelling, and first‑in‑first‑out (FIFO) compliance. Maintain neat, well‑organised filing systems for all stores and inventory documentation. Oversee proper issuance of materials and supplies to departments, ensuring adherence to approval and requisition procedures. Capture all stock issues in the accounting or inventory management system on a daily basis. Prepare consumption reports for cost control, highlighting unusual or high‑usage items. Ensure all inventory transactions comply with financial controls and internal audit standards. Prepare regular reports including stock valuation, variance analysis, stock movement summaries, and cost‑centre usage. Assist with supplier account reconciliation by cross-checking deliveries, invoices, and stock entries. Identify opportunities to strengthen internal controls and improve inventory accuracy. Ensure that stores and inventory processes comply with company policies, audit requirements, and accounting standards. Support continuous improvement initiatives to enhance efficiency, reduce waste, and strengthen accountability. Maintain strong working relationships with procurement, finance, operations, and all internal customers. Qualifications Diploma or Degree in Accounting, Supply Chain, or a related field. Minimum 2–3 years of experience in inventory control, stores administration, or accounting support roles. Strong knowledge of inventory processes, stock management principles, and basic accounting. Experience using inventory or accounting systems (e.g., Sage, SAP, Pastel, Micros, QuickBooks, or similar). Strong numerical accuracy, analytical skills, and attention to detail. Proficient in Microsoft Excel and general computer applications. Experience in hospitality, retail, or manufacturing environments will be an added advantage.
