Velvet Interiors is an award-winning interior design studio specialising in bespoke interiors, renovations, and luxury design solutions. As we continue to grow, we are looking for a highly organised and detail-oriented Accounts & Procurement Manager / Personal Assistant to join our team.
The Role
This is an in-house position (freelancers will not be considered) and reports directly to the Director.
The role requires a proactive and adaptable individual who can manage financial operations, oversee procurement, track client projects and hours, and provide executive support. It involves a variety of additional duties, so flexibility and a willingness to get involved in different aspects of the business are essential.
Confidentiality and discretion are critical, as the role involves handling financial data, procurement details, and executive support tasks. The successful candidate must be able to prioritise effectively, manage multiple responsibilities, and meet deadlines in a fast-paced environment.
Key Responsibilities
Accounts & Financial Management:
Maintain accurate financial records using QuickBooks.
Process VAT returns, payroll, and bank reconciliations.
Handle invoicing, supplier payments, and expense tracking.
Track client projects and hours for accurate billing.
Prepare financial reports and support quarterly reviews.
Ensure compliance with UK accounting standards.
Liaise with the company accountants and prepare end of year accounts for review.
Procurement & Data Tracking:
Manage supplier relationships and negotiate best terms.
Oversee purchasing of furniture, materials, and design items and all purchase orders.
Track orders, deliveries, and ensure goods arrive as expected.
Work closely with the design team to support project requirements.
Help transition the business toward a paperless accounting and procurement system.
Data collection and tracking to support business decision-making.
Personal Assistant & Administrative Duties:
Provide administrative support to the Director, including diary management and email correspondence.
Assist in organising meetings, travel arrangements, and appointments.
Support in managing project documentation and communications.
Handle additional operational tasks as required.
Occasionally liaise with clients and suppliers, requiring clear and professional communication.
Key Requirements:
Qualified in UK accounting (AAT, ACCA, or similar).
Proficient in QuickBooks, Excel, and accounting software.
Confident using a MAC and comfortable with digital systems.
Previous experience in accounts management, procurement, and data tracking.
Strong organisational skills with high attention to detail.
Ability to multitask, meet deadlines, and prioritise effectively.
Excellent communication and problem-solving skills.
Experience in a design or creative industry is a plus but not essential.
Discretion and confidentiality when handling financial and business matters.
Familiarity with Trello or other project management tools is beneficial but not essential.
