Job Title: Accounts Payable (AP) Manager – HVAC Industry (US Accounting) Location: Remote Time Zone: New York (EST) Work Schedule: Full-time, 40 hours per week Preferred Locations: Philippines, Argentina, Mexico About the Role We are seeking an experienced Accounts Payable (AP) Manager to oversee and manage the end-to-end accounts payable function for a growing HVAC services business operating in the United States. This role will ensure accurate, timely processing of vendor invoices, payments, and reconciliations while maintaining strong internal controls and compliance with US accounting principles. The ideal candidate has hands-on experience managing AP teams, working in NetSuite, and supporting high-volume, operationally complex environments such as HVAC, construction, or field services. Key Responsibilities Accounts Payable Management Oversee the full AP lifecycle including invoice intake, coding, approvals, posting, and payments Manage high-volume vendor invoices across multiple entities or locations Ensure timely and accurate weekly and monthly payment runs Maintain AP aging and resolve discrepancies, vendor issues, and payment inquiries Systems & Process Manage and optimize AP workflows in NetSuite and other AP automation platforms (e.g., Bill.com, Tipalti, AvidXchange, Stampli, or similar) Ensure proper invoice coding to GL accounts, departments, classes, and locations Support month-end close activities related to AP accruals and reconciliations Compliance & Controls Ensure compliance with US GAAP and internal accounting policies Maintain strong internal controls, approval matrices, and audit readiness Assist with vendor onboarding, W-9 collection, and 1099 preparation Leadership & Collaboration Supervise and support AP staff or offshore team members (if applicable) Collaborate closely with Controllers, Accounting Managers, and Operations teams Provide process improvements and efficiency recommendations Qualifications & Experience 5+ years of Accounts Payable experience, with managerial or lead-level responsibility Strong working knowledge of US accounting principles (US GAAP) HVAC, construction, or field services industry experience preferred Hands-on experience with NetSuite (required) Experience with AP automation platforms (Bill.com, Tipalti, etc.) Proven ability to manage high-volume AP in a fast-paced environment Strong attention to detail and ability to meet strict deadlines Technical Skills NetSuite (AP module, vendor management, reporting) AP automation tools and OCR invoice platforms Advanced Excel / Google Sheets Understanding of accruals, prepaid expenses, and expense classification Soft Skills Strong communication skills (written and verbal English) Highly organized and detail-oriented Ability to work independently in a remote setup Comfortable working in US business hours (New York time)
