Responsibilities

The purpose of the role is to support the Accounts Payable team, collaborating with the wider Finance team and business in order to ensure that all supplier payments are paid on time and accurately. The role also involves being cross trained in order for adequate cover to be provided during periods of staff absence such as annual leave.

  • Act as the point of contact between Accounts Payable team and procurement to enable a smooth process flow of matching invoices against open purchase orders
  • Responsibility for shared Accounts Payable mailbox, responding to queries from the business
  • Liaise with HR on all relocation related expenses and ensure the correct documentation and approval process is always followed
  • Assist Finance colleagues with providing ongoing training to the wider BII teams on common issues and best practice
  • Ensure supplier data is kept up to date by reviewing old and existing suppliers and consult with Finance Systems to deactivate redundant ones
  • New corporate credit card requests set ups in HSBC and Concur
  • Sending out monthly credit card statements to the business
  • Accounting review and monitoring all expenses entered in Concur
  • Uploading all expenses twice a week and allocating payments once cleared the bank
  • Reconciling and maintaining the Bambora rec weekly and at month-end.
  • Review manual staff expense claim forms and ensure all receipts are matched and coded correctly
  • Sending out debtor statements and chasing overdue balances
  • Monitoring aged receivable status for recharge invoices and following up on all outstanding payments weekly and monthly debtor’s reconciliation
  • Raising any rent recharge invoices
  • Completing call backs to verify new/changed supplier bank account details for prompt payment runs and maintain call back list
  • Providing support for accounting review for UK suppliers
  • Providing support for weekly supplier payments (payments runs)
  • Assisting with the preparation of the weekly VAT Checking report
  • Providing cover to assist with payments for Treasury FX deals, netting and settlements, deposit management and intercompany transfers
  • Providing cover to assist with matching deposits and settlements in CMS daily
  • Providing cover to support Accounts Payable with FFEC process on matching FX deals, netting, and Settlements
  • Providing cover to assist with daily treasury system (Salmon) reconciliation of bank accounts posting into SUN
