The ideal candidate will be responsible for managing outgoing payments, maintaining accurate financial records, and ensuring the timely and accurate processing of invoices and expense reports.Reviews and enters vendor invoices into the financial system, ensuring accuracy and timely payment.Confirms delivery or completion of goods and services and matches invoices to purchase orders prior to payment.Reviews purchase requisitions in Munis for accuracy, documentation, and account coding before routing to the Director of Finance and Operations for approval and conversion.Monitors encumbrances and budget availability prior to processing payments.Prepares and prints checks, and coordinates disbursement with the Treasurers Office.Manages the full warrant process, including preparing reports for the School Committee and City Auditor, ensuring completeness, accuracy, and timely submission, and coordinating with the City Auditors Office for final approval.Voids and reissues checks as needed; assists with resolving tailings and uncashed checksProcesses refunds and applies vendor credits or overpayments in accordance with district policies.Communicates with vendors regarding payment status, discrepancies, and documentation issues.Monitors and reconciles blanket purchase orders for accuracy and proper tracking.Prepares the annual 1099 vendor list for submission to the City Finance Department.Maintains organized and accurate AP records in compliance with retention requirements.Assists with audit preparation by gathering requested accounts payable documentation.Serves as backup to the central office receptionist, assisting with phones, visitors, and general office tasks.Performs other duties as assigned by the Director of Finance and Operations to support the business office.The above statements are intended to describe the general nature and level of work being performed by employees assigned to this classification.
