ACASS, a leading provider of international business aviation support solutions is looking for a motivated, results-driven, and proactive Accounts Payable Coordinator to join our Finance team in Shannon, Ireland. Reporting to our Finance Manager, the Accounts Payable Coordinator is a key member of our finance team responsible for updating, reconciling, and processing vendor invoices in a quick, accurate, and efficient manner.

Responsibilities
· Review and verify the accuracy and validity of vendor invoices, credit notes, and related financial documents.
· Ensure all invoices and financial documents are properly approved in accordance with company policies.
· Match invoices to corresponding purchase orders and supporting documentation.
· Accurately enter approved invoices and credit notes into the ERP system.
· Reconcile vendor accounts regularly to ensure accuracy and resolve discrepancies.
· Investigate and resolve invoice disputes in collaboration with vendors and internal departments.
· Respond promptly to vendor inquiries, coordinating with relevant teams as needed.
· Accurately attribute costs to the appropriate aircraft and client for rebilling and cost allocation.
· Process and reconcile employee credit card transactions; prepare supporting documentation for VAT compliance.
· Prepare and enter revenue invoices into the ERP system in coordination with the billing function.
· Provide occasional support with VAT-related tasks, such as preparing documentation or reconciling relevant transactions, as required.
· Monitor and manage the Accounts Payable inbox to ensure prompt response and efficient workflow.
· Provide ad-hoc support to the Accounts Receivable function, including issuing and following up on client invoices when needed.
· Assist with month-end closing activities, including reconciliations, accruals, and reporting.
· Support the finance team with other administrative or project-based tasks as required.
Qualifications
· High degree of accuracy, attention to detail, and strong organizational skills.
· Ability to work under pressure with a high invoice volume and tight deadlines.
· Excellent interpersonal skills and ability to work effectively in a team environment.
· Self-motivated and able to work autonomously and efficiently set and follow priorities.
· Resourceful and analytical with the ability to identify and resolve issues quickly.
Requirements
· Accounting Technician (ATI) qualification or similar; a diploma or degree in accounting or finance is an advantage.
· Demonstrated experience in an Accounts Payable or finance-related role.
· Strong understanding of accounting principles and AP/AR processes.
· Experience working with an ERP system; proficiency in Microsoft Dynamics 365 Business Central or similar is an asset.
· Proficiency in Microsoft Office Suite, particularly Excel (e.g., using formulas, pivot tables, data analysis).
· Excellent attention to detail and organizational skills.
· Ability to manage high volumes of data and meet tight deadlines in a fast-paced environment.
· Strong communication and interpersonal skills; able to work both independently and within a team.
