JOB OVERVIEW

We are seeking a detail-oriented and organized Accounts Payable Specialist / HR Assistant to join our team. The ideal candidate will be responsible for managing the company’s accounts payable processes, ensuring timely and accurate payments to vendors and suppliers, and assist in all human resource matters, with miscellaneous receptionist duties. This role requires proficiency in financial software (Sage) and a strong understanding of accounting principles. The Accounts Payable Specialist / HR Assistant will play a crucial role in maintaining financial accuracy and supporting overall business operations.

REQUIREMENTS

  • Proven experience in an accounts payable role or similar position within finance or accounting.
  • Proficiency with financial software Sage.
  • Strong data entry skills with a focus on accuracy and efficiency.
  • Knowledge of general ledger accounting principles and technical accounting practices.
  • Excellent organizational skills with the ability to manage multiple tasks effectively.
  • Strong communication skills, both written and verbal, to interact with vendors and internal teams.
  • Ability to work independently as well as collaboratively within a team environment.
  • Human resources and payroll experience.
  • Davis-Bacon experience also a plus.

Responsibilities
  • Process and review invoices for accuracy, ensuring proper documentation and approvals are obtained.
  • Enter data into financial software system (Sage) with high attention to detail.
  • Manage vendor relationships and respond to inquiries regarding payments and account discrepancies.
  • Reconcile accounts payable transactions with the general ledger to ensure accuracy.
  • Assist in the administration of benefits and payroll management as needed, utilizing our management systems.
  • Support month-end closing processes by preparing necessary reports related to accounts payable activities.
  • Collaborate with other departments to resolve any issues related to invoicing or payment processing.
  • Maintain organized records of all accounts payable transactions for audit purposes.
  • Assistance with Human Resources, payroll and receptionist duties.
