Position Summary The Accounts Payable Manager oversees the full-cycle accounts payable function, ensuring timely and accurate invoice processing, strong internal controls, vendor relationship management, and support of monthly financial reporting. This role utilizes Ottimate (AI-driven AP automation software) and QuickBooks to manage and optimize the company’s payables operations. Key Responsibilities · Manage full-cycle accounts payable process and Ottimate software · Collaborate with property managers and regional operations to ensure accurate and efficient processing of invoices and expenses · Ensure timely payment of vendors in accordance with company policy · Maintain vendor setup, W-9s, and 1099 reporting compliance · Ensure proper expense coding and accuracy · Monitor aging reports and resolve discrepancies · Strengthen and maintain internal controls over disbursements · Support audits and provide requested documentation · Identify opportunities for process improvement · Maintain confidentiality and security of financial information · Perform additional duties assigned by the Chief Financial Officer or Corporate Accounting leadership Requirements Qualifications Education: • Bachelor’s degree in accounting, Finance, or related field a plus • 5 years of accounts payable experience, preferably in a multi-entity or hospitality environment • Strong knowledge of accounting principles • Experience with QuickBooks and/or Ottimate software a plus Skills: • Proficiency in Excel, Word and MS Outlook • Exceptional attention to detail and accuracy • Excellent written and verbal communication skills • Strong vendor management skills • Ability to work independently and manage deadlines Physical, Environmental, and Social Requirements • Primarily office-based • Regularly required to sit • Must be able to lift up to 20 pounds occasionally • Moderate noise level typical of an office environment Compensation and Benefits • $25 - $30 an hour • Flexible schedule
