ACCOUNTS PAYABLE SPECIALIST & ADMINISTRATIVE SUPPORT – FULL-TIME OR PART-TIME (ON-SITE)

Pay: Starting at $18.00/hour
Schedule: 30–40 hours/week | Monday–Friday
Job Type: Full-Time or Part-Time | Direct Hire | In-Person
We are hiring a detail-oriented and dependable Accounts Payable Specialist / Administrative Assistant to join our growing office team. This role provides critical support to both the accounting department and front office operations, helping ensure the smooth, efficient, and professional day-to-day functioning of the organization.
If you have experience with invoice processing, vendor communication, and general administrative support, and you enjoy working in a collaborative office environment — we want to hear from you.

PREFERRED QUALIFICATIONS:

  • Previous experience in accounts payable or general accounting support
  • Strong data entry skills with a high level of accuracy and attention to detail
  • Excellent organizational skills and ability to handle multiple priorities
  • Proficient in Microsoft Excel and familiar with other Office software (Word, Outlook, etc.)
  • Experience with Sage Intacct (preferred, but not required – we will train)
  • Professional phone and in-person communication skills
  • Friendly, team-oriented attitude and willingness to pitch in where needed

Responsibilities

ACCOUNTS PAYABLE DUTIES:

  • Match purchase orders, receivers, and invoices for accuracy prior to data entry
  • Enter vendor invoices into our accounting system with accuracy and timeliness
  • Communicate with vendors regarding payment status and invoice discrepancies
  • Collaborate with the purchasing team to track and process supply orders
  • Assist with monthly reporting and reconciliation tasks
  • Learn and grow within Sage Intacct accounting software (training provided)
