Position Overview:
We are seeking a highly organized and experienced Accounts Payable/Receivable & Driver Payroll Specialist to join our transportation company in Acton, ON. This hybrid role is responsible for managing vendor payments, customer invoicing, and driver payroll processing. The ideal candidate will have a strong background in accounting within the trucking industry and a solid understanding of driver compensation structures, including mileage, hourly, and load-based pay.

Key Responsibilities: Accounts Payable (AP):

  • Process and verify invoices for fuel, maintenance, tolls, and third-party logistics services.
  • Match invoices with purchase orders, load confirmations, and delivery receipts.
  • Ensure timely and accurate payments to vendors and service providers.
  • Reconcile vendor statements and resolve discrepancies.
  • Monitor and reconcile fuel card transactions (e.g., Esso, Shell, Fleet cards).
  • Maintain vendor records and ensure compliance with CRA and HST requirements.

Accounts Receivable (AR):

  • Generate and issue invoices based on completed deliveries and load documentation.
  • Post customer payments and reconcile accounts.
  • Monitor accounts receivable aging and follow up on overdue payments.
  • Coordinate with dispatch and operations to ensure accurate billing.
  • Submit invoices to factoring companies and reconcile payments.
  • Maintain customer credit files and assist with credit checks.

Qualifications:

  • Diploma or degree in Accounting, Finance, or a related field.
  • Minimum 3 years of experience in AP/AR and payroll, preferably in the trucking or logistics industry.
  • Proficiency with accounting and payroll software (e.g., QuickBooks, ADP, Payworks, Sage).
  • Familiarity with TMS platforms and driver management systems.
  • Strong understanding of Canadian payroll laws, CRA remittances, and HST.
  • Excellent Excel skills and attention to detail.
  • Strong communication and organizational skills.
