Established in 1997, Hadston House has grown steadily, winning awards for its services in 2022, 2023, and 2024. We take pride in the services we provide to local residents and the positive impact these services have on their lives. Our operations rely entirely on funding, and we generate the necessary funds to run all our programs through fundraising efforts. This role presents a unique opportunity for someone who wants to join a small, successful team dedicated to supporting the most vulnerable members of our community.
JOB PURPOSE: To coordinate services for older people, facilitating and organising day trips. Liaise between the villages in the local communities and surrounding areas to ensure participation across all villages in our services.
ACCOUNTABLE TO: Hadston House site Lead
HOURS OF WORK: 20-25 with additional hours to meet the needs of the service as and when needed. These hours will be split over activity days which may change each week depending on the program planned. Statutory holiday entitlement with the benefit of additional unpaid time off if agreed with your line manager to allow flexibility.
The Coordinator will be responsible for managing services for older adults, recruiting participants, supporting the wider team, and ensuring that all activities are well-planned, risk assessed, and safe for participants. A key aspect of this role is managing our valued volunteers. The successful candidate will work closely with the Meals on Wheels Coordinator, as this position is seen as a partnership role, where both coordinators will cover for each other during holidays.

Responsibilities
  • Coordinate and organise community activities, focusing particularly on older adults, with an emphasis on preventing loneliness.
  • Set up rooms, and activities and ensure rooms are returned at the end of each session.

    • Recruit, train, support, and manage volunteers while keeping their records and processing police checks.

    • Advertise and use social media and other means to generate interest in you activities, working with partners and referral organisations.
    • Participate in training sessions and contribute to training programs as appropriate.
    • Communicate effectively and maintain excellent relationships with volunteers across all services.
    • Deliver activities organised at the centres, which include transporting service users by driving our minibus.
    • Ensure the involvement of older adults within the community, tailoring activities, services, and day trips to meet their needs and preferences.
    • Liaise with and maintain good relationships with other voluntary, statutory, and private agencies, as well as GP practices.
    • Ensure that referrals and user records are up to date and well managed in our IT system.
    • Establish and maintain effective communication with carers, service users, and their families.
    • Organise transportation for day trips and drive the centre’s minibus.
    • Monitor outcomes and record participant information.
    • Keep records, compile and analyse information, and write reports when requested.
    • Ensure proper controls are maintained regarding the handling and recording of all funds and donated goods.
    • Assist with the promotion and marketing of Hadston House services.
    • Maximize participation in fundraising and trading opportunities.
    • Be aware of health and safety issues, taking responsibility for monitoring, reviewing, and implementing safety measures at venues.
    • Perform additional duties as required that are consistent with the responsibilities of the role and the broader operations of Hadston House.
      The successful candidate will be expected to work 20-25 hours per week, with hours scheduled between Monday and Friday, and occasional weekend work.
