With 20 years of expertise, our coffee roastery nestled in the charming town of Brome Lake is experiencing exciting growth. We’re looking for an Accounting & Administrative Assistant to join our team and help drive our continued success in delivering exceptional coffee and supply solutions to businesses.
The role is:
- Full time (Monday-Friday, 40 hours/week)
- Permanent
- Based in Lac-Brome
The Accounting & Administrative Assistant will be responsible for:
Answering and managing customer calls and emails, delivering excellent customer service.
Tracking and managing accounts receivable.
Opening new accounts, preparing equipment and customer volume contracts (fill in templates, send via DocuSign before installations), attaching related documents to the client’s file, and keeping records up to date in the internal system.
Entering all invoices into accounts payable, matching them with the correct purchase orders, preparing supplier invoices for payment, and notifying the internal accountant.
Reconciling credit card statements.
Supporting Sales and Purchasing/Service teams with administrative tasks.
Assisting with order processing and delivery follow-ups as needed.
Preparing and maintaining sales documents, reports, and customer files.
SKILLS & QUALIFICATIONS
Strong organizational skills with a keen eye for detail and accuracy.
Proficiency in Microsoft Office (Excel, Word, Outlook) and comfort with accounting or CRM software.
Excellent written and verbal communication skills in both English and French.
Ability to manage multiple priorities, work independently, and collaborate with a team.
Professional, customer-focused attitude with strong phone and email etiquette.
Proven ability to problem-solve and follow through on tasks efficiently.
Experience with basic accounting tasks, including accounts receivable and accounts payable.
The successful candidates must have a great attitude – enthusiasm and positivity are paramount in this role!
