QUALIFICATIONS ET COMPÉTENCES

  • Minimum de deux (2) années d’expérience dans un poste similaire.
  • Vous possédez un diplôme ou une combinaison équivalente d’études et d’expérience en tant qu’adjoint(e) administratif(ve).
  • Bilingue (anglais et français) – excellente maîtrise écrite et orale.
  • À l’aise avec la technologie, maîtrise de la suite Microsoft Office (Excel, Word, Outlook).
  • Excellentes compétences organisationnelles, capacité à gérer plusieurs priorités et respecter des échéances strictes.
  • Grand sens du détail et rigueur dans l’exécution des tâches.
  • Expérience préalable en marques ou droit de la propriété intellectuelle est un atout, mais non obligatoire.
  • Curieux(se), débrouillard(e) et avide d’apprendre, avec un esprit proactif.
  • Capacité à anticiper les besoins, prendre des initiatives et travailler de manière autonome lorsque requis.
  • Présence professionnelle, discrétion et bonnes compétences en gestion du temps.
  • Expérience dans un cabinet d’avocats ou un service juridique interne est un avantage.

We are seeking a Legal Administrative Assistant to provide high-level support to two attorneys in a fast-paced, collaborative environment.
This is not a typical administrative position. This role combines essential administrative responsibilities with hands-on involvement in trademarks and intellectual property, making it an exciting opportunity for someone who thrives on organization, precision, and clear communication.

QUALIFICATIONS AND COMPETENCIES

  • Minimum of three (3) years of experience in a similar role.
  • You have a diploma or an equivalent combination of education and experience as an administrative assistant.
  • Bilingual (English & French) – excellent written and verbal communication skills.
  • Tech-savvy, with strong proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Exceptional organizational skills, with the ability to manage multiple priorities and strict deadlines.
  • Strong attention to detail and commitment to accuracy in all tasks.
  • Prior experience in trademarks or intellectual property law is an asset, but not mandatory.
  • Curious, resourceful, and eager to learn, with a proactive mindset.
  • Ability to anticipate needs, take initiative, and work independently when required.
  • Professional presence, discretion, and strong time management skills.
  • Experience in a law firm or corporate legal department is considered an advantage.

Responsibilities

ADMINISTRATIVE RESPONSIBILITIES

  • Handle detailed billing for both lawyers, ensuring accuracy and attention to specific requirements.
  • Prepare, review, and issue client invoices in a timely manner, in accordance with firm policies.
  • Enter disbursements promptly to guarantee proper inclusion in client billing.
  • Maintain an up-to-date spreadsheet of corporate clients’ minute books for one lawyer and proactively follow up with those clients to renew mandates, with the lawyer’s approval.
  • Provide general administrative support to ensure smooth and efficient day-to-day operations.

TRADEMARK & IP RESPONSIBILITIES

  • Monitor trademark files and prepare reports/findings for the attorney’s review.
  • Docket, track, and follow up on deadlines and statutory delays in trademark and IP matters.
  • Ensure all tracking spreadsheets and deadline calendars are detailed, accurate, and always up to date.
  • Maintain and update client trademark portfolios and databases with precision and accuracy.
  • Weekly Trademark Journal Watch.
  • Review of Trademark Watch Reports.
