We are looking for an administrative assistant to support the Legal Team in providing legal and strategic advice to management and various teams of the Rio Tinto Aluminium Group.

Reporting to the General Manager, Legal, for the Atlantic Operations division of the Aluminium Group, you’ll be part of a dynamic team in an exciting, fast-paced environment. Your responsibilities will be to:

  • Serve as a point of contact for senior management and various departments within the Aluminium business group and other Rio Tinto functions around the world, independently respond to various requests, maintain the group’s excellent reputation, and foster good relationships with Rio Tinto and our external business partners.
  • Prepare, review, and format documents, including letters, contracts, presentations, summaries, tables, and training documents, in French and English.
  • Perform general administrative tasks—managing law firm invoices, expense accounts, diaries, legal documentation, and databases and tracking electronic or paper document signatures, etc.—using available software programs and technological tools, including ones developed by Rio Tinto.
  • Coordinate the logistics of travel arrangements, meetings, gatherings, and internal and external events.
  • Manage and resolve problematic situations by assisting team members and making their work easier when a problem arises, using both internal and external Rio Tinto resources to find a solution.
  • Play an active role throughout the recruitment process for new students, interns, and other team members by coordinating activities and performing onboarding tasks.
  • Help ensure high-quality communication between team members and model a positive work ethic in the face of challenges.

  • A degree in administration, accounting, office automation, or a similar field
  • Relevant experience in a similar position
  • Proficiency in Microsoft Office as well as the ability to learn and master internally developed tools for tracking and paying legal fees, managing legal documents, and processing internal requests (e.g., from IT and HR); SAP experience is an asset
  • Ability to leverage artificial intelligence tools to support the team, with a curiosity for broader applications of AI
  • The ability to prepare effective presentations using PowerPoint and other tools
  • The ability to assist the team with certain simple legal tasks, such as preparing corporate documents (e.g., resolutions and powers of attorney) and certain contracts, and to conduct legal research using the appropriate tools
  • A sense of initiative, strong ability to work independently, and good learning capacity
  • Demonstrated discretion and professionalism when handling sensitive information and maintaining confidentiality, including confidentiality records
  • Fluency in spoken and written French and English; Rio Tinto is a global company, and the duties of this position require daily collaboration with colleagues, teams, and partners based outside Quebe
