JOB SUMMARY

We are seeking a highly organised and detail-oriented Administrative Assistant to join our team of Architects. You will perform organisational duties, assist with marketing, c and project bid production.
You will help ensure the efficient and smooth day-to-day operation of our office, including support to the managers and employees, assisting in daily office needs and performing our company’s general administrative activities.
You will also assist the directors in seeking new project opportunities and workstreams and assist in managing the practice’s images and marketing material.

EXPERIENCE

  • Good written and verbal communication skills.
  • The ability to deal with a range of visitors and phone callers in a polite and helpful way
  • To be well-organised and systematic in your work
  • The ability to prioritise and multi-task.
  • Good problem-solving skills showing a high level of attention to detail.
  • Computer literacy and proficiency in a range of software including: Microsoft Word, Excel, PowerPoint & Outlook. Knowledge of Indesign and Photoshop would also be beneficial.
  • A systematic approach to document management and production with a high level of accuracy.
  • A willingness to learn and embrace training and a be keen to learn new skills.
  • A good understanding of the need for confidentiality in all dealings within the practice, its staff and with our clients and other 3rd parties with whom we do business.
    Job Types: Full-time, Permanent
    Pay: £27,250.00-£31,000.00 per year

Responsibilities
  • Provide administrative support to the team, including managing schedules and coordinating meetings.
  • Keep the office clean and tidy and liaising with the cleaners.
  • Order general office supplies.
  • Handle phone calls with professionalism.
  • Provide administrative duties for the in-house sustainability team and IT team.
  • Manage all bid portals, update financial and insurance documents and identify opportunities for review.
  • Assist with the preparation of project bids. Log success and feedback.
  • Liaise with the project architects to produce project data sheets and completed presentation drawings.
  • Manage the company website, make basic updates and liaise with the website designers for major updates/ refreshes.
  • Manage and update the company’s intranet
  • Coordinate, brief and procure photography of projects .
