JOB SUMMARY

Join NHS Blood and Transplant as an Admin Assistant in our vital Blood Donation team, where your organisational skills and attention to detail will directly support life-saving work across the UK. EXPERIENCE AND KNOWLEDGE

  • Experience of communicating effectively, using a variety of methods, including an excellent telephone manner.
  • Experience with computer packages, including word processing, databases and spreadsheets.
  • Experience of using email and internet.
  • Experience of working in an office environment in a relevant role where managing databases and processing paperwork is business critical.
  • Knowledge of Microsoft Office, including Word, Excel and Outlook.

QUALIFICATIONS AND TRAINING

  • Relevant GCSE/ A Levels and/or RSA 3 qualification or equivalent qualification / demonstrable work experience
  • Willingness to undertake a formal qualification.
  • Demonstrates commitment to own continuous learning and development

Responsibilities

In this role you will be responsible for providing comprehensive and efficient administrative support to Blood Donation Manager(s). This will require you to:

  • Acting as first point of contact for queries from managers and staff, escalating when needed.
  • Managing and maintaining databases, spreadsheets, and records accurately.
  • Processing and managing equipment and assets in line with schedules, including Q Pulse updates.
  • Supporting managers and deputising during their absence to ensure smooth operations.
  • Coordinating meetings, events, and projects, including arranging venues, invitations, and taking minutes.
  • Communicating confidential and complex information professionally by phone, email, and correspondence.
  • Organising travel and accommodation arrangements for team members.
  • Maintaining effective filing systems, both electronic and paper-based.
  • Monitoring office supplies and managing invoice payments.
  • Providing guidance to less experienced staff and supporting team workload management.
  • Undertaking data collection, statistical reporting, and chasing information as required.
  • Following health and safety policies and promoting a positive safety culture.
  • Performing other administrative duties as needed.
