Administrative Assistant | Commercial Property
We are currently working with a highly regarded firm looking for an Administrative Assistant to join their team. This role is vital in ensuring the smooth running of client and internal operations, providing essential support to fee earners, partners, and clients. You’ll be part of a collaborative environment where attention to detail and proactive client service are highly valued.

What You’ll Be Doing

You will be responsible for a variety of administrative and client support tasks, including:

  • Opening new and existing client files.
  • Archiving and retrieving files (both electronically and with external storage), managing client balances.
  • Filing documents in relevant client files and subfolders (paper and electronic).
  • Photocopying, printing, and scanning.
  • Preparing BACS/TT/Faster payments.
  • Supporting PAs with digital dictation (BigHand) when required.
  • Conducting bank verification calls.
  • Meeting and assisting clients when collecting or delivering documents.
  • Managing fee earner diaries, including scheduling Teams calls and client meetings.
  • Taking and typing up attendance notes and meeting minutes.
  • Handling post (incoming and outgoing).
  • Liaising with Accounts to allocate money e-chits.
  • Monitoring fee-earner inboxes when they are out of the office, collating emails and attachments.
  • Occasionally using AI tools such as ChatGPT with awareness of their limitations.
