This is a remote position. Schedule 40 hours per week Monday to Friday, 8 am to 5 pm Auckland, NZ Including a 1-hour unpaid break About Us We are a growing small civil construction business seeking a dedicated Administrative Assistant to join our team and help streamline our daily operations. Position Overview We're looking for an organized and proactive Administrative Assistant to manage our office operations and customer communications. This role is essential to keeping our projects running smoothly and ensuring excellent customer service from first contact through project completion. Key Responsibilities Customer Communication & Lead Management Answer phone calls and respond to customer inquiries professionally Follow up on all leads generated through Facebook and online channels Schedule and coordinate site visits with potential clients Maintain regular communication with customers throughout their project lifecycle Software & Data Management Upload and maintain customer information in Fergus job management software Allocate and assign invoices to appropriate jobs within Fergus Ensure all project documentation is accurately recorded and filed Administrative Support Process and verify employee timesheets for accuracy Maintain organized records of all business transactions Support general office administration as needed Required Skills & Experience Strong organizational skills with excellent attention to detail Confident phone manner and professional communication skills Computer literacy with ability to learn new software quickly Experience with job management software (Fergus experience a plus but not essential - training provided) Ability to multitask and prioritize in a busy environment Self-motivated with ability to work independently Previous administration experience, preferably in construction or trades industry ​ Independent Contractor Perks: HMO Coverage for eligible locations Permanent work-from-home Immediate hiring Steady freelance job ZR_29266_JOB
