JOB SUMMARY

We are seeking a highly organized and proactive Admin & Executive Assistant to assist with finance tasks, and ensure smooth day-to-day office operations. This role requires strong communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

What You’ll Be Doing

  • Provide confidential administrative and project support to the General Manager.
  • Act as first point of contact for inquiries and manage email, calendars, scheduling, and travel.
  • Prepare and distribute correspondence, reports, memos, agendas, and meeting minutes.
  • Liaise with leadership, vendors, clients, and government agencies.
  • Support business development, strategic planning, research, training, seminars, and event coordination.
  • Process expense reimbursements, maintain task lists, and assist with onboarding.
  • Maintain financial records, process invoices, support AP/AR reporting, and month-end close.
  • Prepare reports, financial binders, and project documentation; communicate with vendors.
  • Maintain finance document control and assist with cross-training in the finance team.
  • Ensure office operations run smoothly, including supplies and monthly all-staff presentations.

What We’re Looking For:

  • Diploma or degree in Business Administration, Finance, or related field (or equivalent experience).
  • 2+ years of experience in executive support, finance, or office administration.
  • Strong knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with QuickBooks, Buildertrend, or similar software is an asset.
  • Excellent organizational, communication, and multitasking skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong attention to detail with the ability to meet deadlines in a fast-paced environment.
