JOB DESCRIPTION

  • Office Management: Oversee daily office operations, including organizing supplies, maintaining office equipment, and ensuring a tidy, efficient workspace
  • Scheduling and Calendar Management: Coordinate and schedule appointments, meetings, and events for executives or teams, ensuring smooth time management
  • Document Preparation and Filing: Prepare, edit, and manage various business documents, reports, and presentations while maintaining proper filing systems (both digital and physical)
  • Communication Handling: Answer phone calls, respond to emails, and handle general inquiries from clients, vendors, and staff members
  • Data Entry and Record Keeping: Accurately input and maintain data in various systems, ensuring up-to-date records and smooth access to information
  • Travel Arrangements: Organize travel itineraries, including booking flights, accommodation, transportation, and other arrangements as needed
  • Expense Reporting: Assist in preparing expense reports, processing invoices, and managing office budgets, ensuring proper documentation
  • Support for Teams and Departments: Provide administrative support to various departments, including arranging meetings, organizing team events, and assisting with special projects
  • Customer Service: Greet visitors, provide customer service, and ensure a welcoming environment for clients and guests
  • Confidentiality and Compliance: Handle sensitive information and ensure compliance with company policies and legal requirements, maintaining confidentiality

JOB REQUIREMENTS

  • Minimum Diploma and above
  • Excellent organizational and time management skills, with the ability to prioritize tasks
  • Attention to detail and accuracy in managing documents and tasks
