Description

About the role

We’re looking for an organised, practical and proactive Administration Assistant to help keep our busy Dubbo office running smoothly.

This is a varied, hands-on role supporting our CEO, Business Manager, clients and field team. No two days are the same — you could be completing admin and client follow-ups, preparing an order or laboratory submission, organising equipment for a field job or heading into town to collect supplies.

A key part of the role is working with our Business Manager providing PA support to our CEO , helping manage priorities and anticipating what needs to be done.

The Position

This is an office-based position at our Dubbo HQ, Monday to Friday. The role is approximately 25 hours per week (around 9:30am–2:30pm), however full-time hours may be considered for the right applicant.

Key Responsibilities

As our Administration Assistant, you’ll help keep the day-to-day operations of FFS organised and running smoothly. This is a varied, hands-on role that combines administration, PA support and practical office duties. These include but are not limited to:

  • Provide day-to-day administrative and PA support to the CEO, Business Manager and wider FFS team, including managing paperwork, bookings, follow-ups, travel arrangements and competing priorities.
  • Help protect the CEO’s time by screening and redirecting requests, anticipating what is needed, following up routine matters and taking ownership of tasks that don’t require the CEO’s direct involvement.
  • Manage general office administration, client records, data entry, filing, emails, documents and information across systems including EzyVet, Google Workspace and Asana.
  • Assist with client orders, including preparing, packing and dispatching products and coordinating collections and couriers.
  • Prepare and pack laboratory submissions and samples, ensuring paperwork and client records are accurate and complete.
  • Assist with stock control and inventory, receiving deliveries, monitoring stock levels and expiry dates, and keeping storage areas organised.
  • Support our field team by preparing paperwork, equipment, consumables and job kits, and helping unpack, clean and return equipment following field work when required.
  • Undertake local business errands as required, including post, couriers, laboratory drop-offs, collecting supplies and other practical tasks.
  • Help maintain a clean, organised and professional office, including routine office cleaning, housekeeping and keeping shared, packing and storage areas tidy.
  • Use initiative to identify what needs doing, take ownership of routine tasks and help the wider team during busy periods.

About You

We’re looking for someone who:

  • Has excellent organisational skills and strong attention to detail
  • Is reliable, punctual and someone the team can depend on
  • Has a proactive attitude and willingness to take ownership
  • Is someone who sees something that needs doing and gets on with it
  • Has strong written and verbal communication skills
  • Provides friendly, professional customer service
  • Is confident using computers, email, Excel and Google Workspace
  • Can prioritise multiple tasks and adapt when priorities change
  • Can remain calm and organised when things get busy
  • Has a high level of integrity and discretion when handling confidential client and business information
  • Is willing to undertake both administrative and practical tasks, including packing, lifting and routine office cleaning
  • Holds a current driver’s licence
  • Can work independently while being a positive and helpful member of a small team
  • Is willing to learn, follow procedures and continually improve
  • Ideally has experience in administration, customer service, agriculture or a veterinary environment.

About For Flocks Sake

For Flocks Sake (FFS) is a sheep veterinary and production consultancy based in Dubbo, NSW, working with sheep producers across Australia. Our purpose is simple: to help producers grow their best sheep and make every ewe a winner. FFS Admin Assistant 2026 (3)

We’re a small, busy and growing team that combines veterinary expertise, sheep production and practical on-farm support. Our work takes us from the office to farms across the country, so having a well-organised team behind the scenes is an important part of delivering the level of service our clients expect.

We value people who take ownership of their responsibilities, communicate well, use initiative and are willing to help others when things get busy. We believe the best teams are made up of people who see what needs doing and are prepared to get in and do it.

We take our work and our clients seriously, but we also want FFS to be a positive, practical and enjoyable place to work. If you like agriculture, enjoy being part of a close-knit team and don’t mind a bit of sheep talk, you’ll fit right in.

We’d Love to Hear From You

If you’re looking for more than a traditional admin role and enjoy being a person who helps keep things organised, solves problems and helps a busy team stay on track, we’d love to hear from you.

We’re looking for someone who is practical, proactive and organised, takes pride in getting things done and is happy to pitch in wherever needed. A connection to agriculture or experience in the ag industry would be a bonus — as would a love of sheep.
