Admin Assistant – Legal & Real Estate
We are seeking a detail-oriented Admin Assistant with strong Excel skills and a background in real estate legal operations. The ideal candidate will assist in various administrative and legal coordination tasks related to tenancy, cheque executions, notary updates, and renewal processes. This role requires excellent organizational abilities, document handling, and interdepartmental communication.

Requirements:

  • Proven experience in administrative or legal support, preferably in real estate or property management.
  • Advanced proficiency in Microsoft Excel (data tracking, formulas, conditional formatting, etc.).
  • Familiarity with legal procedures (cheque bounce, notary, Tableegh, blacklisting, etc.).
  • Experience with SAP or similar enterprise systems is a plus.
  • Strong organizational and documentation skills.
  • Excellent written and verbal communication skills.
  • Ability to work independently and manage multiple tasks efficiently

Responsibilities
  • Prepare cheque execution calculations and documentation for legal case filing.
  • Manage Tableegh vouchers: prepare, update records in trackers, and maintain delivery details.
  • Scan, organize, and maintain notarized documents in structured digital folders.
  • Handle data entry for renewal cases in both Headlease and Management Excel trackers.
  • Update renewal trackers based on agent email requests and legal status follow-ups.
  • Communicate with renewal agents, landlords, and internal departments via email.
  • Manage blacklisting processes in SAP for tenant addition/removal.
  • Issue and email non-renewal notices to tenants.
  • Calculate and prepare legal charges for closing cases; compile closing sheets.
  • Download, print, and send Naqoodi receipts; coordinate with finance team (e.g., Prasanna).
  • Send RDC payment receipts to landlords.
  • Handle bounced cheque cases during team absences.
  • Track and update legal milestones: execution status, blacklisting, arrest warrants, and car custody.
  • Assist in compiling and maintaining monthly legal reports.
