We are seeking a highly organised and detail-oriented Administrative Assistant to join our team. The ideal candidate will possess strong office experience and administrative skills, with a focus on providing exceptional support to our staff and ensuring the smooth operation of daily activities. This role is pivotal in maintaining an efficient office environment and requires proficiency in various software applications.

QUALIFICATIONS

  • Proven office experience with a strong background in administrative roles
  • Excellent computer skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
  • Familiarity with QuickBooks is advantageous but not essential
  • Strong organisational skills with the ability to manage multiple tasks simultaneously
  • Effective typing skills with attention to detail for accurate data entry
  • Demonstrated clerical experience, showcasing an ability to maintain confidentiality and handle sensitive information
  • A proactive attitude with a willingness to learn and adapt in a dynamic work environment

Responsibilities
  • To warmly greet Centre visitors to ensure a professional and positive first impression
  • Handle incoming calls/ emails with professionalism, demonstrating excellent etiquette
  • Perform data entry tasks accurately and efficiently, ensuring all records are up to date
  • Handle bookings, deposits, monthly news letters.
  • To look and apply for suitable funding
  • To handle any contract renewals of clients or providers
  • To provide assistance to clubs and groups who hire the halls and their clients
  • To maintain the reception and communal areas to a high standard, ensuring it is clean and tidy, logging any maintenance issues and escalating where necessary.
  • Manage office supplies inventory, placing orders as necessary to ensure adequate stock levels
  • Maintain and update Social media to promote the organisation and build it’s online Presence
  • Support clerical tasks such as typing correspondence, memos, and other documents as required
  • To act as a trained First/Aider
