Job Details Job Location: WEST HOLLYWOOD, CA 90046 Position Type: Full Time Job Shift: Day Job Purpose The Administrative Assistant (AA) plays a pivotal role in ensuring the smooth operation of our office and resident care services. This position involves comprehensive management tasks including planning, scheduling, organizing, directing, and coordinating daily services both within the office environment and in residents' homes. The AA ensures exemplary care, supervision, safety, and adherence to executive directives involving appointments and staff scheduling. Qualifications Duties and Responsibilities • Support the Administrative Assistant in managing office affairs, including handling phone calls, coordinating medical and dental appointments, and organizing meetings. • Motivate staff to enhance their engagement and skills in providing care and understanding residents' needs. • Update and educate staff on new materials and practices beneficial for facility operations, leveraging insights from classes or executive meetings. • Address unmet resident needs by facilitating access to community programs and treatments. • Implement safety and guidance measures for residents with visual or auditory deficiencies. • Uphold the highest standards of care and supervision for residents, ensuring all services meet their needs effectively. • Coordinate with professionals to address residents' needs for specialized services, ensuring followthrough on expert recommendations. • Enforce compliance with all relevant regulations, including but not limited to RCFE Title 22, fire department codes, Home Care Organization standards, and facility policies. • Performs other related duties as assigned. Educational Requirements • Associate degree (A.A.) or equivalent from a two-year college or technical school; or • Six months to one year of related experience and/or training; or • An equivalent combination of education and experience in related fields such as eldercare or administrative operations Job Requirements • Current First Aid certification. • Tuberculosis (TB) clearance. • Engage in ongoing Continuing Education to stay abreast of industry standards and practices. • Background clearance through the FBI & DOJ. • Must report any unusual incidents to the Executive Director. • Proof of eligibility to work in the U.S. (I-9 form submission within 3 working days). • Ability to effectively communicate with our resident population. • Compliance with the facility's dress code. • Minimum age requirement of 21 years. • Proficient in computer skills. • Must be in good standing with the Department of Social Services and facility administration. • A minimum of 2 years of experience in a related field such as eldercare or administrative operations. • Excellent and compassionate communication skills. • Capable of performing diverse duties independently and following through on assignments with minimal guidance. • Effective at coordinating with staff, residents, clients, and various external contacts. Physical requirements • Physically able to perform tasks requiring mobility and strength, such as walking, bending, and lifting up to 35 pounds. • Subject to frequent interruptions • Continuous walking, bending, and movement. Alternating frequently between standing and walking. • Alternating rarely to sitting. Additional Requirements Computer literacy Fluent in Russian and English
