POSITION SUMMARY:

We are seeking a detail-oriented and proactive Administrative Assistant to support our operations team. This role will be responsible for ensuring accurate documentation, monitoring of key operational activities, and supporting daily administrative processes.

QUALIFICATIONS/REQUIREMENTS:

  • Proven experience as an Administrative Assistant or in a similar role.
  • High level of accuracy and attention to detail.
  • Strong organizational and time-management skills.
  • Proficient in Microsoft Office (Excel, Word, Outlook) and operational systems (Polaris experience is a plus).
  • Ability to multitask and prioritize work efficiently.
  • Good communication skills, both written and verbal.
  • Fluency in English is required; Tagalog or Hindi is an advantage.

Responsibilities
  • Timesheet Writing and Monitoring:
  • Prepare, update, and monitor daily and weekly timesheets for staff.
  • Ensure timely submission and accuracy of time records.
  • Coordinate with department heads to validate attendance and shift schedules.
  • Product Expiration Printing:
  • Manage and print product expiration labels in accordance with company standards and health regulations.
  • Ensure accurate tracking and labeling of product expiration dates.
  • Incident Report Management:
  • Document, file, and track incident reports in a timely manner.
  • Assist in coordinating follow-up investigations and ensure reports are complete and compliant with company procedures.
  • Food Watch Daily Updating:
  • Perform daily updates on the Food Watch system to ensure all entries are accurate and up to date.
  • Monitor food safety data and escalate any discrepancies to the relevant department.
  • Polaris Invoice Handling:
  • Process Polaris invoices, ensuring all relevant documentation is attached and verified.
  • Provide general administrative support as needed by the operations team.
