WSP Solicitors are dynamic and forward thinking legal practice with offices in Stroud and Gloucester. We have been serving Gloucestershire for over 250 years and operate across a wide range of personal and commercial law.

THE PERSON

We are looking for candidates who ideally has previous administration experience in a legal environment. The ideal candidate will be confident, proactive, team focussed, flexible and adaptable to change whilst providing care and attention to detail to help deliver the best service to our clients. Being organised and able to use initiative are also considered pre-requites for this important role.

Responsibilities

We are looking for an administration assistant to provide excellent support to our clients and Legal Practitioners. The role involves the provision of reception and general administrative services in both our Gloucester and Stroud offices

Duties and responsibilities include but are not limited to:

  • Ensuring the office is open and closed in accordance with the firms opening and closing times.
  • Providing high quality reception and telephone services across offices.
  • Ensuring all incoming mail is sorted, scanned and distributed as appropriate, to relevant post rooms and to manage the post rota.
  • Monitoring the admin requests folder and actioning requests in a timely manner.
  • Undertaking reception cover where required (at both offices.)
  • Actioning archive requests and record relevant file movements on our client management system.
  • Recalling files and documents from internal and external storage and assisting with the destruction of files in line with GDPR requirements and the firm’s data retention policies.
  • Monitoring and actioning booking room requests.
  • Assisting with client ID and other client data inputting.
  • Supporting fee earning teams with any copying | scanning requirements.
  • Ordering consumables and stationery as required by the firm.
  • Managing the replenishment of stock for tea / coffee / sugar / cleaning items and ensure orders are placed in a timely manner.
  • Ensuring the toilets and communal areas are stocked with products. Kitchen appliances are checked and maintained. Confidential waste sacks are collected and disposed of accordingly.
