As part of our continued growth, we are looking for an organised and proactive Appointment Coordinator to join our administrative team. WHAT WE’RE LOOKING FOR

We’re seeking someone with proven experience in an administrative or coordination role, preferably within a busy office or healthcare setting. You’ll need strong organisational and time management skills, the ability to handle multiple priorities, and excellent communication skills both verbal and written. A high level of attention to detail and proficiency with Microsoft Office tools is essential.
You should be comfortable working both independently and as part of a team, with a positive, can do attitude. Adaptability, discretion, and a proactive approach to problem-solving are key qualities for success in this role. A customer service mindset and a desire to support staff and services are also important.
Desirable skills include experience using System1 and a working knowledge of health and safety regulations in an office environment.

Responsibilities

The Appointment Coordinator will play a key role in ensuring the smooth scheduling of staff and administrative coordination across our services. You will work closely with clinical teams, service managers, and other stakeholders to manage rotas, support facilities operations, and contribute to the overall efficiency of our administrative functions. Your work will directly impact the running of clinics and support a positive working environment for our teams.
You will be responsible for helping to maintain and update staff rotas, ensuring clinics are appropriately staffed, and contributing to the long-term planning of service delivery. The role also involves assisting with the day-to-day running of our office and clinic sites, helping with workspace setup, liaising with vendors, and ensuring that our facilities remain clean, safe, and operational.
Beyond day-to-day coordination, you’ll also support wider initiatives, such as auditing rota compliance, improving our systems and tools including rostering platforms, and tracking budget spend. You’ll work closely with the Head of Administration to monitor contractor performance and ensure high standards are maintained across all our locations.
