THE ADMIN OFFICER IS RESPONSIBLE FOR PROVIDING ADMINISTRATIVE SERVICES IN ORDER TO ENSURE EFFECTIVE AND EFFICIENT SERVICE.

The Admin Officer reports to the Head of Resources and is responsible for providing administrative services. Providing these services in an effective and efficient manner will ensure that municipal operations are maintained in an effective and efficient manner.
Responsibilities
Provide administrative support to ensure that municipal operations are maintained in an effective, up-to-date and accurate manner. To ensure that the Agency is provided with the resources to make effective decisions, and to provide receptionist services.

Main Activities

  • Type correspondence, reports and other documents
  • Maintain office files
  • Assist the Directors with day-to-day tasks
  • Organise social events for staff and foster carers
  • Liaise with Local Authorities, Professionals and Foster Carers
  • Deputise for Office Manager meet service needs
  • Open and distribute the mail
  • Take minutes at meetings
  • Distribute minutes
  • Coordinate repairs to office equipment
  • Maintain confidential records and files
  • Maintain records of decisions
  • Assist with the preparation of policies and procedures
  • Schedule team meetings
  • Prepare agendas for team meeting
  • Attend team meetings
  • Prepare documents for Panel and Panel members
  • Greet and assist visitors
  • Answer phones
  • Direct calls and respond to inquiries
  • Perform other related duties as required
